Position Summary The Operations Manager/RBT supports the day-to-day non-clinical operations of the ABA clinic, with a primary focus on staff scheduling, assisting HR manager with employee onboarding and offboarding, and administrative systems. This role ensures smooth clinic operations, clear communication, and adherence to organizational policies.
Hours:
Flexible hours based on clinic needs with a part time direct schedule working with clients Reports to: Director of Operations and Executive Director of Clinical Services Key Responsibilities Scheduling & Staffing Operations Manage RBT schedules through passage health to ensure adequate coverage and continuity of care across the clinic Communicate daily with Operations Managers across locations to coordinate coverage and staffing needs Monitor and respond to schedule changes, call-outs, and time-off requests Maintain accurate staff availability, assignments, and schedule updates Serve as the primary point of contact for all scheduling-related questions and concerns Communicate scheduling issues or concerns to the Director in a timely manner Staff Communication & Support Communicate regularly with RBT staff regarding clinic updates, including closures, holiday schedules, trainings, and special cleaning procedures Act as a liaison between RBTs and Supervisors/Directors to support clear, professional communication Escalate staff concerns, performance issues, or operational needs to the Director as appropriate Support a positive, organized, and professional clinic environment Welcoming New and Unfamiliar Staff Assist in coordinating scheduling for new RBTs, including orientation to clinic operations, policies, and expectations Ensure new and existing staff are informed of current policies and procedures Clinic Operations & Administrative Oversight Adhere to and reinforce all non-clinical policies and procedures, including punctuality, dress code, and office expectations with the HR Manager Support operational conversations with staff, including attendance concerns, policy adherence, and performance feedback in collaboration with leadership Coordinate and oversee clinic cleaning schedules to ensure accountability and completion Maintain operational systems, documentation, and internal processes Create, approve, and manage non-billable activities and administrative events Staff Coordination & Task Management Assign and coordinate Client Related Tasks (CRT) for unscheduled staff, including clear expectations and follow-up on completion Delegate and disseminate administrative tasks to RBTs as appropriate Collaborate with leadership to develop strategies that improve staff compliance, performance, and efficiency Collaboration & Leadership Collaborate with clinical and operational leadership to support staffing and clinic needs Participate in operations meetings Support consistency across clinics by aligning processes and communication
