Job Description
Overview We are seeking a highly organized, proactive, and detail-oriented Operations Director to oversee the day-to-day operations of our growing pest control and wildlife service company. This role is critical to ensuring efficient scheduling, seamless customer experience, and strong internal systems that support both our field technicians and office operations. This is an on-site position based at our office located at 1822 Roberts Street in Winchester, VA. The ideal candidate is a systems thinker who thrives in a fast-paced environment, is tech-savvy, and takes ownership of operations with minimal oversight while also supporting inbound sales, marketing, and leadership efficiency. Responsibilities Operations, Scheduling & Sales Support Manage daily scheduling and weekly route optimization for field technicians Oversee and adjust routing to maximize efficiency and profitability Coordinate service appointments and ensure timely communication with customers Answer incoming phone calls and assist with customer inquiries Handle primarily inbound sales, converting incoming calls, inquiries, and leads into booked services Educate customers on services, packages, and pricing to recommend appropriate solutions Provide support to field technicians with scheduling, logistics, and light technical guidance as needed Software, Systems & Leadership Support Accurately enter and manage customer accounts in FieldRoutes Assign appropriate service packages, pricing, and service frequencies Maintain data integrity across systems, including Google Workspace (Docs, Sheets, Gmail, Calendar) Assist ownership in streamlining operations and improving efficiency through better utilization of FieldRoutes and internal systems Continuously evaluate and improve workflows, processes, and operational efficiency Customer Experience Serve as a primary point of contact for customer inquiries, concerns, and service requests Ensure a high level of customer satisfaction and timely issue resolution Support customer retention through proactive communication and follow-up Financial & Administrative Support Process customer payments and manage invoicing Send invoices and follow up on outstanding balances (collections) Assist with light accounting tasks, including payment tracking and reporting Assist with West Virginia sales tax filings and payments Prepare and manage daily/weekly deposits Maintain accurate financial and customer records Field & Vendor Coordination Provide support to field technicians with service questions, job details, and operational processes Manage relationships with vendors and service providers Coordinate ordering of materials, supplies, and equipment Marketing, Growth & Community Outreach Assist with execution of marketing initiatives and campaigns Manage and support social media presence and customer communications Coordinate service reminders, email outreach, and promotions Support online reputation management, including review generation and responses Assist with off-site marketing efforts, including visits to real estate offices and key customer relationships to support business development Qualifications 3+ years of operations, office management, or service-based business experience Experience with scheduling, dispatching, or route-based businesses preferred Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar) Experience with FieldRoutes or similar CRM/field service software strongly preferred Strong organizational and multitasking skills Excellent communication and customer service abilities Experience handling inbound sales or converting leads into customers Experience with invoicing, payment processing, and basic accounting functions Familiarity with marketing, social media, and relationship-based outreach is a plus Ability to problem-solve, prioritize, and take initiative Key Traits for Success Detail-oriented and systems-driven Calm under pressure and solutions-focused Strong sense of ownership and accountability Process-oriented with a continuous improvement mindset Comfortable wearing multiple hats in a growing business environment Strong interpersonal skills for both team and client interactions Team player with leadership potential Compensation & Growth Competitive salary based on experience Performance-based incentives (recommended, especially tied to booking conversion and retention) Opportunity for growth into senior leadership as the company expands
