This role is ideal for someone who enjoys working with numbers, keeping details organized, solving small daily problems, and supporting a fast-paced operations team. The Operations Administrative Coordinator will split time between money room responsibilities, customer billing support, cash reconciliation, reporting, and general administrative functions. This position plays an important role in helping the branch run smoothly, ensuring cash and billing accuracy, and supporting communication between operations, accounting, route teams, and branch leadership. Key Responsibilities Cash Control & Money Room Responsibilities Count, verify, and reconcile route collections, cash, coins, checks, and related deposits. Prepare daily deposits and maintain accurate money room records. Research and document over/short discrepancies. Follow company cash handling procedures and internal controls. Communicate cash or collection issues to branch leadership and accounting. Maintain organized records for deposits, route collections, and reconciliation paperwork. Billing & Customer Account Support Assist with customer billing, invoice review, and billing accuracy. Help process billing adjustments, credits, account updates, and special billing notes. Support monthly minimum billing, fuel surcharges, equipment billing, and other recurring customer charges. Work with accounting and operations to resolve billing questions or discrepancies. Maintain accurate customer account information in company systems. Administrative & Operations Support Support branch leadership with daily administrative tasks and follow-up items. Maintain organized files, reports, logs, and documentation. Assist with route paperwork, customer records, service notes, and operational tracking. Help update system information related to customers, pricing, products, routes, or equipment. Prepare reports and summaries for branch management as needed. Support special projects, system clean-up, customer transitions, and process improvement initiatives. Communication & Team Support Communicate professionally with route drivers, warehouse, service, accounting, and branch leadership. Follow up on missing information, incomplete paperwork, or unresolved issues. Help ensure important branch processes are completed accurately and on time. Provide administrative support to help the operations team stay organized and accountable. Qualifications Prior experience in administration, billing, accounting support, cash handling, banking, office coordination, or operations support is preferred. Strong attention to detail and accuracy. Comfortable working with numbers, invoices, reports, and reconciliations. Basic to intermediate Excel skills preferred. Ability to manage repetitive daily tasks while maintaining a high level of accuracy. Strong organization and follow-up skills. Ability to work independently and ask questions when something does not reconcile. Professional communication skills. Ability to handle confidential information and company cash responsibly. Experience with vending, food service, distribution, route operations, or customer billing systems is a plus, but not required.
