Job Description

Position Summary The Operations Manager is responsible for overseeing the daily operations of Rock County Historical Society and ensuring efficient business office management across the organization. This position provides leadership and coordination of administrative functions, financial processes, facility operations, events, volunteers, and organizational support activities. The Operations Manager works closely with staff, volunteers, board members, community partners, and visitors to support the Society's mission while creating a positive and efficient environment for employees, members, and guests. This role requires a highly organized, hands-on leader who can balance strategic thinking with daily operational responsibilities. Essential Responsibilities Organizational Operations Oversee day-to-day operations of the Historical Society, museum facilities, and administrative functions. Develop and improve systems, procedures, and workflows to increase efficiency. Identify operational issues and implement practical solutions. Maintain organizational policies and procedures. Support strategic initiatives and board priorities. Track and report operational metrics and goals. Business Office Management Manage business office functions including: Accounts payable and accounts receivable Invoicing and payment processing Membership tracking and reporting Budget monitoring and expense tracking Financial recordkeeping Purchasing and vendor coordination Assist with preparation of annual budgets and financial reporting. Support audits, grant reporting, and required documentation. Maintain accurate records and filing systems. Facilities and Property Management Coordinate building and grounds maintenance. Work with contractors and vendors regarding repairs and services. Monitor facility needs and identify opportunities for improvement. Assist in planning for long-term maintenance and preservation priorities. Events and Community Engagement Support planning and execution of organizational events, fundraisers, rentals, and community programs. Coordinate logistics including staffing, vendors, setup, and communication. Assist in developing processes that improve visitor and event experiences. Volunteer and Staff Support Assist with onboarding, scheduling, and coordination of staff and volunteers. Support employee and volunteer engagement efforts. Provide supervision and coaching as appropriate. Foster a collaborative and mission-driven culture. Communication and Customer Service Serve as a primary point of contact for operational questions and concerns. Maintain strong relationships with members, visitors, donors, vendors, and community partners. Ensure high-quality customer service experiences. Qualifications Education Bachelor's degree in Business Administration, Nonprofit Management, Operations, Finance, or related field preferred. Equivalent experience may be considered. Experience 3-5+ years of experience in operations, office management, nonprofit administration, business management, or related leadership roles. Supervisory experience preferred. Experience with budgeting, event coordination, customer service, and administrative systems preferred. Pay:
$50,000.00 - $65,000.00 per year
