Job Description

Operations Coordinator - Administrative Support Specialist Advocacy Programs / Family Service Association, Inc. Position Overview Operations Coordinator provides comprehensive administrative, operational, and financial support to the agency. This role serves as a central point of coordination for client services, financial recordkeeping, scheduling, reporting, communications, and office operations. The position is responsible for maintaining accurate records, supporting compliance requirements, accounting functions, while ensuring efficient day-to-day administrative functions. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities while providing excellent support to staff, clients, community partners, and stakeholders. Key Responsibilities Administrative Coordination & Office Support Coordinate and schedule client appointments, meetings, and staff calendars Manage incoming communications, including emails, phone calls, voicemails, mail, and faxes Prepare correspondence, reports, forms, and other program documentation Maintain organized electronic and physical filing systems Assist with document preparation Open, distribute, and process incoming mail and agency communications Support agency-wide administrative projects and special assignments Financial Administration & Accounting Support Enter invoices, payments, deposits, and financial transactions into QuickBooks Process accounts receivable and assist with billing and fee collection Record credit card transactions and maintain supporting documentation Process inter-agency invoices and payments Guardianship Program Support Assist with inventories, accounting, and court-required filings Support guardians and staff with administrative aspects of financial case management Minimum Qualifications Preferred Associate or Bachelor's degree in Business Administration, Accounting, Finance, Office Administration, or a related field preferred; or High school diploma with significant administrative, accounting, or office management experience Ability to work independently while managing multiple priorities and deadlines Skills & Competencies Strong administrative and organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) QuickBooks experience required Excellent verbal and written communication skills Strong attention to detail and accuracy Ability to maintain confidential information and exercise sound judgment Strong time management and multitasking abilities Ability to work collaboratively with staff, clients, and external partners Equal Opportunity Employer Advocacy Programs (Family Service Association, Inc.) is an Equal Opportunity Employer and values diversity in the workplace. $15.00 - $22.00 per hour
