Position Overview We are seeking a detail-oriented and highly organized Order Processing Specialist to join our Irvine office. This role works closely with our sales and warehouse teams to ensure customer orders are processed accurately, efficiently, and on time. The ideal candidate is dependable, proactive, and thrives in a fast-paced environment. Experience in the electronic cigarette, vape, smoke shop, or wholesale distribution industry is highly preferred. Key Responsibilities Process customer orders accurately and efficiently. Perform data entry, invoice entry, and order verification. Coordinate with sales representatives and warehouse staff to ensure timely order fulfillment. Calculate shipping costs and prepare shipping estimates according to company guidelines. Communicate order updates, inventory issues, and fulfillment concerns promptly. Maintain accurate customer and order records within company systems. Develop and maintain a strong understanding of company products and services. Handle confidential information related to finance, sales, legal, and operations with discretion. Meet productivity, accuracy, and turnaround-time goals. Assist in improving operational processes and departmental efficiency. Provide excellent customer service through phone and email communication. Qualifications Associate's or Bachelor's degree preferred. Minimum 3 years of office administration, order processing, or customer service experience. Experience with Microsoft Office Suite (Excel, Word, Outlook). Experience with QuickBooks or similar accounting/ ERP software preferred. Strong data entry skills with a high level of accuracy and attention to detail. Excellent written and verbal communication skills. Professional phone and email etiquette. Strong organizational and multitasking abilities. Ability to work under pressure while maintaining professionalism. Strong problem-solving and analytical skills. Comfortable working in a fast-paced, entrepreneurial environment. Minimum 1 year of experience in the electronic cigarette, vape, smoke shop, or related industry preferred.
