Job Description
Order Processing and Management Efficiently manage the end-to-end order processing workflow by receiving, reviewing, and accurately entering customer orders into the Enterprise Resource Planning (ERP) system. Perform thorough verification of order details, including product codes, quantities, pricing, and customer information to ensure accuracy and compliance with company standards. Customer Support and Communication Actively monitor communication channels such as Ruby and the Orders mailbox to promptly address general customer inquiries. Direct inquiries to the proper representatives and aid customers with requests, ensuring a high level of customer service and satisfaction. Documentation Ensure that all customer orders are accompanied by the necessary documentation and ease smooth processing and delivery. Aid in the preparation and aggregation of any and all manuals and support documents, such as meeting minutes and resources, to enhance team efficiency and customer understanding. Support Activities Provide comprehensive administrative support to the sales teams by accurately entering data for quotes and proposals. Maintain organized records and documentation to support the sales process and customer interactions. Cross-Functional Collaboration Collaborate effectively with engineering and production teams to ensure seamless order processing and fulfillment. Participate in regular cross-departmental meetings with sales, production, and planning teams to discuss order status, production schedules, and inventory levels. Contribute feedback and insights to improve data quality, streamline processes, and enhance overall customer satisfaction. Continuous Improvement and Training Proactively find and recommend process improvements to enhance the efficiency and accuracy of order entry operations. Engage in continuous learning and professional development opportunities to stay abreast of industry trends, best practices, and advancements in technology. Support team members by sharing knowledge and expertise, fostering a culture of continuous improvement and team growth. Qualifications A college diploma or technical degree in business administration, supply chain management, or a related field is preferred. Exceptional diligence and accuracy, ensuring all data entered and processed is precise. Excellent communication and people skills, capable of effectively interacting with customers and team members. Ability to work collaboratively in a team environment, contributing positively to team dynamics and productivity.
