Job Title:
Order Entry Specialist Job Description The Order Entry Specialist oversees a dedicated customer account and manages the end-to-end processing of customer orders. This role involves retrieving orders from an EDI system, preparing all required documentation, coordinating with the warehouse, and ensuring orders are accurately routed and ready to ship. The specialist communicates with customers daily via email to provide order status updates, resolve issues, and deliver a high level of customer service in a fast-paced logistics environment. Responsibilities Oversee a specific customer account and serve as the primary contact for order-related inquiries and requests. Retrieve customer orders from the EDI system and verify order details for accuracy and completeness. Print and assemble all necessary paperwork for each order, including packing slips and labels. Prepare and organize packing slips and labels in envelopes and deliver them to the warehouse for order pulling. Coordinate with the warehouse team to ensure orders are pulled accurately and in a timely manner. Confirm that orders are ready to ship and route orders by printing bills and sending them out for shipment. Manage a high volume of paperwork and maintain organized records for all orders and related documentation. Communicate with customers via email on a daily basis, typically handling 20-40 emails per day. Provide order status updates, answer questions, and address issues or discrepancies related to customer orders. Use Microsoft Office applications, particularly email tools, to manage customer communications and documentation. Maintain a strong focus on accuracy and detail when processing orders and preparing shipping documentation. Apply critical thinking skills to identify and resolve order processing issues or logistics-related challenges. Work efficiently in a fast-paced environment while meeting deadlines and service expectations. Collaborate with other Customer Service Representatives and warehouse staff to ensure smooth order fulfillment. Demonstrate a customer service-oriented approach in all interactions, both internal and external. Essential Skills Proven customer service experience with a focus on order processing or order entry. Hands-on experience with order entry and order fulfillment processes. Proficiency with Microsoft Office, particularly for email communication and basic documentation. Strong verbal and written communication skills for clear and professional customer interactions. High attention to detail to manage significant amounts of paperwork and ensure order accuracy. Critical thinking skills to troubleshoot and resolve order or logistics issues. Ability to work effectively in a fast-paced environment while handling multiple tasks. Customer service-oriented mindset with a focus on responsiveness and problem-solving. Additional Skills & Qualifications High School Diploma required. Experience in a logistics, transportation, or distribution environment preferred. Familiarity with EDI (Electronic Data Interchange) systems for retrieving customer orders is beneficial. Experience with Warehouse Management Systems (WMS) is preferred. Background working with purchase orders and logistics documentation is an advantage. Work Environment The Order Entry Specialist works in an office setting alongside a small team of approximately 3-5 Customer Service Representatives. The environment is fast-paced and collaborative, with frequent interaction with warehouse personnel and other internal teams to support order fulfillment. Standard office technology and Microsoft Office tools are used daily to manage orders, documentation, and customer communications. Job Type & Location This is a Contract position based out of Memphis, TN. Pay and Benefits The pay range for this position is $17.86 - $17.86/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
