Job Description:
Job Overview Xpanner is seeking a hands-on Procurement & Parts Operations Manager to own the sourcing, purchasing, and transactional operations for all parts and materials at Xpanner. This role goes beyond traditional procurement- the ideal candidate will also manage Sales Orders and drive the majority of NetSuite transactions related to Parts Operations, serving as the company's primary ERP operator for this function. This person will work closely with operations, warehouse, and finance teams to ensure efficient supplier management, accurate inventory coordination, smooth purchasing workflows, and reliable order fulfillment processes. Responsibilities Procurement & Supplier Management Manage the sourcing and procurement of materials, parts, and operational supplies. Identify and evaluate suppliers to ensure quality, reliability, and competitive pricing. Negotiate pricing, contracts, and purchasing terms with vendors. Maintain strong vendor relationships and monitor supplier performance. Purchasing & Order Management Oversee purchase order (PO) creation, tracking, and fulfillment in NetSuite. Process and manage sales orders (SO) within NetSuite, coordinating fulfillment with warehouse and operations teams. Coordinate with internal teams to ensure timely procurement of required materials. Monitor purchasing and order activity to ensure cost efficiency and proper documentation. Parts Operations & NetSuite Transactions Own end-to-end Parts Operations workflows in NetSuite, including purchase orders, sales orders, item receipts, inventory transfers, and related transactions. Serve as the primary NetSuite operator for parts-related transactions-ensuring accurate data entry, workflow routing, and record integrity. Support order fulfillment by processing sales orders, generating pick/pack/ship records, and coordinating with warehouse staff. Identify and resolve discrepancies between POs, SOs, and inventory records in NetSuite. Continuously improve Parts Operations workflows within NetSuite to increase efficiency and accuracy. Inventory & Operations Coordination Support coordination of materials and inventory across operational teams. Assist with reviewing material requirements and supporting day-to-day operational needs when necessary. Maintain accurate inventory tracking and collaborate with warehouse teams on stock levels and replenishment planning. Systems & Financial Coordination Utilize NetSuite as the primary ERP platform for all purchasing, sales order, inventory, and parts operations transactions. Support inventory reconciliation and monthly reporting as needed. Work cross-functionally with finance and operations teams to ensure accurate data and purchasing documentation. Requirements 3-7+ years of experience in procurement, purchasing, or supply chain operations Hands-on experience managing both purchase orders and sales orders in an ERP system Experience with vendor sourcing, price negotiation, and supplier management Familiarity with inventory coordination and materials management Proficiency with ERP systems- NetSuite strongly preferred Demonstrated ability to independently execute transactional NetSuite operations (POs, SOs, item receipts, inventory adjustments, fulfillments) Strong cross-team communication and coordination skills A startup mindset- proactive, adaptable, and ready to build processes from the ground up Preferred Qualifications Experience supporting inventory reconciliation or financial coordination Background in manufacturing, operations, construction, or logistics environments Ability to take a hands-on operational approach when supporting day-to-day needs Familiarity with Parts Operations processes (quoting, order processing, returns/RMAs) Experience acting as the primary ERP user for a parts or distribution function About Xpanner Xpanner is transforming the construction industry with Physical AI-automation technology that turns heavy equipment into intelligent, software-defined machines.
