Position Summary The Purchasing Agent is responsible for leading and managing all procurement activities to ensure the timely, cost-effective, and compliant acquisition of raw materials, ingredients, packaging, equipment, and services required for dietary supplement manufacturing. This role develops and executes purchasing strategies aligned with production schedules, quality standards, and financial goals while ensuring compliance with FDA dietary supplement regulations, cGMP requirements, and internal policies. The Purchasing Agent collaborates closely with Operations, Quality Assurance, Finance, R D, and Warehouse teams to support uninterrupted production and scalable growth. Key Responsibilities Develop and implement purchasing strategies, policies, and procedures aligned with production plans, quality requirements, and budget targets. Own the full purchase order lifecycle, including creation, tracking, and follow-through to ensure on-time delivery. Actively shop and benchmark supplier pricing, identify alternative sources, and negotiate improvements to maintain competitive cost structures. Maintain accurate and up-to-date pricing across suppliers, identifying discrepancies and changes proactively. Maintain high-touch communication with suppliers to track order status, enforce deadlines, and proactively address potential delays that could impact production schedules. Qualify, approve, and monitor suppliers in accordance with cGMP and FDA requirements. Partner with Quality Assurance to manage supplier documentation, including COAs, specifications, traceability, and quality agreements. Resolve supplier issues related to quality deviations, shortages, recalls, delays, or regulatory non-compliance. Work cross-functionally with Warehouse and Production to keep inventory, purchasing, and scheduling tightly aligned. Take ownership of material availability and purchasing execution to ensure production schedules are consistently met. Support new product introductions by securing materials, aligning timelines, and coordinating supplier readiness. Set and manage inventory min/max levels based on usage, lead times, and production needs. Actively monitor inventory and initiate reorders before shortages impact production. Qualifications Bachelor's degree in Supply Chain Management, Business, Operations, or a related field (preferred). 2+ years of purchasing or procurement experience. Preferable if in dietary supplements, food, pharmaceutical, or other regulated manufacturing environments. Strong negotiation, contract management, and vendor relationship skills. Deep understanding of ingredient sourcing, COAs, specifications, lot traceability, and inventory control. Familiarity with quality systems, deviations, change control, and supplier corrective actions (SCARs). Google Suite, Microsoft Office, and QuickBooks (preferred). Excellent analytical, organizational, and problem-solving abilities. Strong communication skills with the ability to collaborate cross-functionally. Ability to manage multiple priorities in a fast-paced, regulated manufacturing environment. Working Conditions Office and manufacturing floor environment. Occasional travel to supplier sites as required. Physical Requirements Ability to sit or stand for extended periods. Occasional lifting of materials or samples within company-defined limits.
