Purchasing Manager

About Us Private Label Labs is a contract manufacturer specializing in high-quality haircare and skincare products. Position Overview We're looking for an experienced Purchasing Manager to lead sourcing and procurement across raw materials, packaging, and contract services for our haircare and skincare production. This role is critical to maintaining cost efficiency, production timelines, and product quality in a fast-paced manufacturing environment. You'll own supplier relationships, negotiate pricing, and ensure we have the materials needed to support both ongoing production and new product launches. Key Responsibilities Supplier Sourcing & Management Source and manage suppliers for ingredients (actives, surfactants, emulsifiers, fragrances), packaging (bottles, pumps, jars), and components Evaluate and onboard new vendors aligned with quality, compliance, and cost standards Maintain strong relationships with domestic and international suppliers Procurement & Negotiation Negotiate pricing, MOQs, lead times, and contracts to optimize margins Issue and manage purchase orders, ensuring timely delivery of materials Track and manage supplier performance (cost, reliability, quality) Inventory & Production Support Partner with production and planning teams to forecast material needs Ensure raw materials and packaging are available to meet production schedules Prevent stockouts while minimizing excess inventory Cost Optimization Analyze material costs and identify savings opportunities Lead cost-reduction initiatives (alternative suppliers, bulk purchasing, reformulation support) Support product costing and margin analysis Quality & Compliance Ensure all suppliers meet cosmetic industry standards (FDA, GMP, ISO where applicable) Collaborate with QA/QC to resolve material or supplier issues Maintain documentation such as COAs, SDS, and technical specs Cross-Functional Collaboration Work closely with R&D on new formulations and ingredient sourcing Support new product development with timely procurement of samples and materials Coordinate with logistics to manage inbound shipments and timelines Qualifications 5+ years of purchasing or procurement experience in cosmetics, personal care, or CPG manufacturing Strong understanding of haircare/skincare raw materials and packaging supply chains Proven negotiation and vendor management experience Experience with ERP/MRP systems and inventory planning Knowledge of cosmetic regulatory requirements (FDA, GMP) Bachelor's degree in Supply Chain, Business, or related field preferred Key Traits Highly organized and detail-oriented Strong cost awareness and commercial mindset Ability to move quickly and solve supply challenges Confident communicator with vendors and internal teams Comfortable working in a fast-paced production environment Why Join Private Label Labs?
