Full-time Summary:
Parent Engagement and Enrollment Coordinator (Coordinator) is responsible for supporting enrollment operations, parent engagement, administrative compliance, and family communication for the Child Development Center. This position plays a key role in ensuring children are enrolled appropriately under various funding sources while maintaining accurate documentation, eligibility records, and compliance with applicable program requirements. The Coordinator serves as a liaison between families, administrative staff, and program leadership to support enrollment growth, family participation, retention, and overall program organization
Essential Functions:
Coordinate enrollment activities for the Child Development Center, including application processing, eligibility verification, intake documentation, enrollment tracking, waitlist management, and participant onboarding. Serve as a primary point of contact for prospective and enrolled families, providing information regarding program eligibility, enrollment requirements, attendance expectations, available services, and funding opportunities. Coordinate enrollment processes across multiple funding sources, including CSPP, CCTR, CalWORKs, CAP, and other applicable childcare assistance programs, ensuring compliance with all program requirements. Maintain accurate and organized enrollment, eligibility, attendance, and participant records in accordance with licensing regulations, funding requirements, organizational policies, and confidentiality standards. Monitor enrollment documentation, recertifications, participant files, and required forms to ensure timely completion and ongoing compliance with applicable regulations and funding source requirements. Track enrollment capacity, vacancies, attendance trends, and waitlists, and communicate enrollment needs and updates to program leadership. Prepare, maintain, and distribute enrollment-related reports, correspondence, notices, program materials, and administrative documentation. Coordinate and facilitate family orientations, enrollment appointments, center tours, parent meetings, and other activities designed to support enrollment, retention, and family engagement. Develop and maintain positive working relationships with families, community partners, funding agencies, and internal stakeholders to support program growth and participant success. Support outreach efforts and enrollment initiatives designed to increase awareness of program services and maximize enrollment opportunities. Coordinate communication with families regarding enrollment status, documentation requirements, program updates, attendance concerns, recertification deadlines, and other program-related matters. Utilize enrollment databases, tracking systems, spreadsheets, and other technology platforms to maintain accurate records and support program operations. Collaborate with Child Development Center staff and leadership to ensure smooth participant transitions, effective service delivery, and compliance with program requirements. Assist with audits, monitoring reviews, licensing visits, and compliance activities by maintaining organized records and providing required documentation. Maintain strict confidentiality of participant, family, employee, and organizational information. Provide administrative support to the Assistant Director of Child Services and Child Development Center leadership team as needed. Perform other duties as assigned. Minimum Qualifications High school diploma or equivalent required Associate degree or coursework in Early Childhood Education, Human Services, Social Services, Administration, or related field preferred Minimum of 1 years of administrative, enrollment, childcare, family services, or related experience preferred Experience working with state funded childcare programs and enrollment requirements preferred Bilingual English and Spanish strongly preferred Strong organizational, communication, and customer service skills Ability to manage multiple tasks, deadlines, and confidential information Proficient in Microsoft Office, email systems, spreadsheets, and data entry Ability to work collaboratively with families, staff, and community partners Valid California driver's license required. With acceptable driving record. Proficient in managing complex databases while adhering to established data entry protocols. Demonstrated discretion, professionalism, and political acumen in handling sensitive and confidential information. Self-motivated, resourceful, and able to work independently with minimal supervision. Preferred Qualifications Knowledge of California childcare licensing regulations and enrollment compliance requirements Experience working with CSPP, CCTR, CalWORKs, CAP, and other subsidized childcare funding programs Experience working with diverse and underserved populations Knowledge of family engagement, parent involvement, and family support practices Skills Commitment to and understanding of the mission, values, and CREED of Martha's Village & Kitchen, demonstrating integrity, compassion, and service. Strong written and verbal communication skills with the ability to connect effectively across diverse groups. Highly organized, with proven ability to manage multiple tasks, prioritize effectively, and meet deadlines. Proficient in Microsoft Office, internet navigation, general computer applications, and database operations, with strong typing speed and accuracy. Collaborative team player, able to work across departments in support of MVK's mission. Professional, courteous, and resourceful when engaging with participants, donors, volunteers, and the public. Skilled at identifying and addressing practical problems, adapting to dynamic care situations, and applying sound judgment when standard protocols are limited. Capable of accurately interpreting and following written, verbal, and diagram-based instructions to ensure safe care delivery and proper documentation.
