Typing Full Job Description Job Summary:
The Long-Term Offender Reentry and Recovery (LTORR) Administrative Specialist serves as the primary administrative support staff for the the LTORR Program. This position is responsible for maintaining organized program operations, supporting staff and participants, ensuring accurate data entry and documentation, assisting with participant intake preparation, and providing general clerical and reception support within the facility. The Administrative Specialist plays a key role in supporting program compliance, communication, and daily operations while contributing to a welcoming and professional environment for Veterans participating in the program.
Key Responsibilities:
Responsibilities include, but are not limited to, the following: Perform general office clerical duties including responding to emails, filing, scanning, copying, and maintaining organized records. Upload required data touchpoints into ARMS daily, including: Nightly attendance Case notes Group attendance Group sign-in sheets Collect and maintain group sing-in sheets from designated facilitators and upload them into SharePoint. Create, distribute, and collect monthly participant attendance logs, unit inspections logs, and participant medication logs. Receive, review, respond to, and track Veteran correspondence via mail related to: Program applications Application packet requirements Program acceptance and intake process Assist with preparation for new participant arrivals, including: Preparing client rooms Obtaining basic clothing and hygiene items Securing food and essential supplies for incoming Veterans Maintain and organize program supply closets and ensure essential program items remain stocked. Support program staff with transportation of participants to appointments and other program related needs as necessary. Maintain confidentiality of participant information and records in accordance with organizational and legal standards. Assist with maintaining accurate and organized participant files and administrative records. Support program operations and staff with additional administrative tasks as assigned.
Minimum Qualifications:
The Administrative Specialist must meet the following: Must be at least twenty-one (21) years of age. High school diploma or equivalent required. Possess strong interpersonal, oral, and written communication skills. Possess good typing and computer skills. Ability to maintain professionalism and confidentiality in a reentry and recovery environment. Ability to work effectively with justice-involved Veterans and individuals from diverse backgrounds Ability to multitask, stay organized, and complete assignment in a timely manner. Valid California driver's license and ability to transport clients as needed.
Preferred Qualifications:
Experience working in social services, reentry, behavioral health, housing, or Veteran services preferred. Familiarity with data entry systems and electronic documentation platforms preferred. Experience working in fast-paced office or program environments preferred. Additionally, candidates must successfully complete a CDCR background clearance, including a Live Scan. Applicants who do not pass the CDCR background check are ineligible to work under the LTORR contract.
