We are seeking a highly organized and proactive Program Coordinator (contingent position) to support our Dealer Sustainability Program and Facilities team. This role plays a key part in advancing sustainability initiatives, improving data tracking, and assisting with critical agreement management processes. The position will support dealer outreach, reporting, and the preparation and processing of extension agreements for existing Letters of Intent (LOIs). Ideal for candidate thrives in dynamic, fast-paced environments.
Responsibilities:
  • Dealer Sustainability Program
  • Drive dealer engagement and participation through targeted outreach (email/phone communications)
  • Manage, validate, and track dealer-submitted data including utility bills, scorecards, and compliance documentation
  • Own program inbox management, responding to inquiries and escalating technical issues as needed
  • Execute outreach campaigns and monitor engagement metrics and participation rates
  • Prepare dealers for annual sustainability recognition by identifying and resolving data gapsData & Reporting
  • Maintain, analyze, and report on key program data including energy usage, water consumption, and emissions metrics
  • Develop reports, dashboards, and performance tracking tools to support business decisions
  • Monitor and report on key KPIs, including LOI lifecycle tracking and reduction of expired agreements
  • Ensure data integrity and accuracy across CRM systems and internal databasesFacilities & Agreements
  • Support drafting and processing of Letters of Intent (LOI) extensions and agreement documentation
  • Track LOI milestones, compliance status, and expiration timelines
  • Compile and present data insights for internal stakeholders and cross-functional teams
  • Maintain accurate records in data management systems (e.g., CRM, DDMS, or similar platforms)Program Operations
  • Coordinate cross-functional meetings with internal teams, dealers, and external vendors
  • Support vendor management and utility data acquisition processes
  • Monitor vendor performance against service level agreements (SLAs) and data quality standards
  • Identify and implement process improvements, workflow efficiencies, and program enhancements
