Full Job Description Job Summary:
The TMS & Spravato Program Manager owns the performance of the practice's TMS and Spravato programs. This is a sales and operations role responsible for the full patient journey from lead to completed treatment. The Program Manager manages the pipeline, runs consults, drives conversions, coordinates care with providers and staff, and ensures authorizations and scheduling move without delays.The goal is simple:
keep programs full, patients moving, and revenue captured.Reports To:
Dr. Thomas Knightly -Medical Director Primary Responsibilities:
Own the full sales pipeline for all interventional programs from lead to completed treatment Conduct patient consults and convert qualified patients into active treatment plans Drive enrollment and retention through consistent follow up and pipeline management Coordinate with Medical Director, providers, and staff to ensure patients move through each stage without delays Oversee VOBs and prior authorizations with payer specific accuracy to minimize denials and delaysAdditional Responsibilities:
Track and report key metrics including leads, consults, conversion rate, authorizations, starts, and completion rate Build and maintain referral relationships and community outreach Support scheduling and workflow efficiency to keep programs fully booked Train staff on program workflows and expectations Manage inventory for programsWhat Success Looks Like:
Programs stay fully scheduled with strong completion rates Pipelines are clean, active, and converting consistently High consult to start conversion rate Authorizations completed quickly with minimal denials Patients move through treatment without gaps or drop offSoft Skills Needed:
Clear, confident communicator with patients and professionals Strong follow through and accountability Organized and process driven Comfortable leading and influencing othersHard Skills Needed:
CRM pipeline management from lead to conversion Proven consult and closing ability in healthcare Deep understanding of VOB and prior authorization workflows Knowledge of TMS and Spravato patient eligibility and flow Ability to track and reportKPIs Experience & Education:
3-5 years in behavioral health, neuromodulation, or medical sales Proven track record driving patient volume and conversions Experience working with providers and clinical workflowsPay:
