Company Overview Children's Behavior Therapy was founded in 2009 to provide Applied Behavior Analysis (ABA) treatment to children on the Autism Spectrum and children with behavioral health concerns. We believe in a collaborative approach involving clinicians, families, teachers, and children to develop personalized treatment plans that prioritize meaningful progress and milestones. Our mission is to support children and families every step of the way with dedication and compassion. Overview We are seeking a dedicated and organized ABA Program Coordinator to join our team. This vital role ensures the smooth functioning of our ABA therapy services by coordinating clinical operations, supporting staff, assisting with intake and scheduling workflows, and maintaining compliance with industry standards. The ideal candidate will be proactive, detail-oriented, adaptable, and passionate about improving outcomes for children through efficient program management and operational support. This position answers to and supports the Vice President of Operations and Clinical Director. The ideal candidate must be able to work independently, meet deadlines, follow established workflows and policies, and quickly implement training, feedback, and operational direction as needed. Responsibilities Coordinate daily clinical operations to ensure seamless delivery of ABA therapy services. Support clinicians by managing schedules, documentation, workflow tracking, and resource allocation. Assist with intake workflows, referral follow-up, client scheduling and rescheduling, and communication with prospective and current families. Facilitate communication between families, clinicians, and administrative staff to promote clarity, responsiveness, and collaboration. Assist in onboarding new staff members, including training on policies, procedures, documentation systems, and operational workflows. Monitor compliance with industry regulations, company policies, deadlines, attendance, credential tracking, and operational priorities to uphold quality standards. Maintain accurate records related to client progress, staff hours, treatment plans, scheduling, intake coordination, and operational workflows. Contribute to continuous improvement initiatives by identifying operational efficiencies and implementing best practices. Quickly implement workflow updates, operational direction, organizational priorities, and feedback as needed in a fast-paced environment. Requirements Proven experience in healthcare, ABA, behavioral health operations management, intake coordination, scheduling, or related healthcare administration preferred. Strong organizational skills with the ability to multitask effectively, manage deadlines, and maintain accuracy in a dynamic environment. Excellent communication skills for liaising with families, clinicians, and administrative teams. Knowledge of ABA therapy principles or experience working within behavioral health settings is a plus. Ability to interpret and follow policies, procedures, workflows, and regulatory guidelines accurately. Proficiency with electronic health records (EHR) systems, scheduling systems, Google Workspace, or similar documentation platforms preferred. A proactive attitude with strong problem-solving skills, follow-through, adaptability, and attention to detail. Leadership and initiative are expected; however, the candidate must also remain receptive to oversight, responsive to changing operational priorities, and adaptable to workflow adjustments as needed.
