This would involve a variety of clerical tasks related to; the maintenance of the waiting list, and the processes involved in program admission. Processing will include consistent determinations as to which applicants should be placed on the waiting list, selected from the waiting list, issued a voucher, or determined ineligible to participate in the program, and comply with HUD rules on non-discrimination. The ability to handle confidential information. The ability to communicate effectively with the public individually and in groups and to perform tasks timely and accurately is essential in achieving success in this position. Responsibilities Managing the Waiting List by tracking the status of all applicants. Updating applicant information pertaining to the status of original application. Printing monthly applicant waiting List reports. Maintaining and documenting daily/monthly records of all changes that affect the applicant status, keeping spreadsheets, and audit trails, and any corrections necessary. Answers incoming calls and waitlist email inquiries from applicants and public related to eligibility or waiting list status, ensuring communication is according to policy. Selecting applicants by processing and preparing letters to communicate with applicants, scheduling and hosting face to face interviews to collect information to determine eligibility in compliance with Federal Regulations and the KCKHA policies. Notifies applicants of determination via mail correspondence. Ensures all applicant files are created at intake accurately in chronological order according to checklist and maintains overall file maintenance of all applicants on Processes family application files by reviewing and accessing for completeness to determine basic eligibility. Prepares and sends written requests for missing family composition and or income information documentation. Determines third party correspondence is accurate, complete, legible, and authentic received directly from applicant, via telephone, mail, fax, and or by email. Determines family program eligibility per HUD regulations and Housing Authority policy. Conducts screening of applicants determining debts owed, currently subsidized status, and criminal backgrounds. Notifies applicants in writing of denial of application, or withdrawal of application, in accordance with HUD regulations and Housing Authority policy. Determines appropriate voucher issuance and subsidy standards for each eligible family. Scheduling hosting and preparing Family Handbooks for monthly Briefings whether for an individual or in group settings. Prepares and send out via mail notifications to eligible families requiring Briefing attendance. Explains eligibility and program requirements to voucher holders consisting of Family Obligations. Meets with Voucher Holder families periodically for any status changes once issued a voucher. Keeping track and reviewing bi-monthly the status of issued vouchers shopping to modify status on waitlist of vouchers extended and or expired. Requirements Strong knowledge of social services and housing programs, particularly LIHTC and Section 8. Excellent communication skills for effective negotiation and crisis intervention. Ability to manage multiple cases effectively while maintaining attention to detail.
