POSITION SUMMARY
The Program Coordinator provides program support to the Astra Recovery Services Team coordinating internally and with community partners for admissions, food benefits, daily billing, housing program management and CCBHC, CARF and state licensing adherence. Reporting to the Director of Astra Recovery Services (ARS), this position ensures high-quality, trauma-informed, and culturally responsive service delivery consistent with the mission and standards of Astra Mental Health and Recovery, a Certified Community Behavioral Health Clinic (CCBHC). The Program Coordinator possesses strong organizational skills, creative thinking, prompt follow-through skills, flexibility to move between tasks and a strong knowledge of detail-oriented responsibilities, supporting Astra's commitment to Access, Comprehensive Care, Excellent Outcomes, and Sustainability. ESSENTIAL FUNCTIONS
Types, saves and distributes correspondence, with ability to take minutes and compose letters, memos, and develop forms, tables, etc., without need for dictated or written copy. Generate and compile monthly, quarterly, and annual reports as requested. Work with DCF around food assistance benefits for individuals served, completing and entering all required documentation. Order supplies, create purchase orders and requisitions as requested. Maintain the funded housing program to include meeting with individuals, completing and entering new applications through care coordination, and creating purchase orders for payment. Coordinate with community partners through written and verbal communication regarding treatment services and admission dates. Schedule and process intakes and direct admissions for both residential and outpatient individuals, completing all required paperwork and phone calls. Respond to inquiries about treatment services both by telephone and through written communication. Maintain logs and files for the purpose of monitoring waiting lists and admissions to include priority populations, and incoming and outgoing calls. Data entry input into Carelon for block grant individuals and complete required paperwork for Medicaid and other insured person served, and assist staff with training or continued stay entries as necessary. Provide Peer Support/Case Management Services to ARS individuals to assist in increasing self-responsibility for activities of daily living consistent with treatment plan and/or case management goals, with detailed progress notes. Address, review and/or evaluate goals and objectives with the person served throughout the process of recovery. Help person served to develop a network for information and support. Monitor data and reports for identified grants or contracts and submit any monthly required reports. Monitor access standards to maintain compliance with CCBHC, CARF and state licensing standards. Update team/individual schedules in of any changes reported by clinical staff. Adhere to Astra's policies, procedures, and professional ethical standards. Other Duties Demonstrate cultural and linguistic competence. Approach interactions with individuals served and colleagues with a trauma sensitive lens. Support and actively promote the vision and mission of the agency and the philosophy of the strengths perspective. Completes required trainings. Other duties as assigned, as qualified and trained for. POSITION QUALIFICATIONS
Education and Licensure:
High School diploma or GED Level II Peer Support Certificate or be able to obtain within a period of six months which requires candidate to be in active recovery for a period of not less than two years, and completion of an approved 15 hour training and/or Case Management Certification within a period of six months which requires candidate to have either an associate's degree, with 27 hours in SUD core classes, or a bachelor's degree in counseling or related field, or work experience in the human services field, with one year of experience substituting for one year of education and completion of Person Centered Case Management training provided by the Kansas Department for Aging and Disability Services/Behavioral Health Services. Must successfully pass Kansas Bureau of Investigation (KBI), Central Registry, and all required background checks. Valid Kansas driver's license, good driving record, current auto insurance, and reliable transportation required. Experience:
Minimum of three (3) years clerical or related experience (one year of education equivalent to one year experience). Experience working with substance use disorder individuals preferred. Knowledge, Skills, and Abilities Knowledge CCBHC standards for access, assessment, treatment, and documentation. CARF standards for Recovery Services Federal Block Grant, SB123, Medicaid, Commercial, contractual and KDADS compliance requirements. Skills Strong organizational skills. Creative thinker with prompt follow-through skills. Detail oriented with proven flexibility to move between tasks. Proficiency with electronic health record (EHR) systems and data monitoring. Ability to sit, stand, and move for extended periods. Visual and auditory acuity sufficient for communication and supervision. Occasional lifting of materials (up to 50 lbs). Tolerance for active, occasionally high-stress environments typical of substance use disorders. WORK ENVIRONMENT
This position operates within Astra Recovery Services, with minimal travel to other sites or community locations. The work environment is primarily an office setting that at times is fast paced, requiring adaptability.
