Job Description

The Program Coordinator will provide administrative support to two of the Jewish Studies Centers at Brandeis Universityâ" The Hadassah-Brandeis Institute on Jewish Womenâ™s and Gender Studies (HBI) and the  Mandel Center for Studies in Jewish Education. For HBI, the program coordinator plays a key role in supporting new research on the diversity of Jewish womenâ™s experience and the meaning of gender in Jewish life and culture. For the Mandel Center, this position acts as the main administrative support, enabling the success of a research center dedicated to advancing the field of Jewish educational scholarship through expansive research on teaching and learning.
Job Description HBI Event Support :
Coordinate event logistics for in person and zoom events and convenings. Tasks associated with event logistics include but are not limited to: creating run-of-show documents for each event; reserving space on campus; updating shared calendars; creating and administering zoom events; creating and updating event registrations; ordering catering; organizing setup and breakdown of events; arranging for appropriate tech; liaising with speakers; organizing honoraria and supporting paperwork; booking accommodation, preparing recordings and supervising transcriptions to make ADA compliant. May also supervise student event assistants. (30%) Manage the
HBI Research Awards Program :
Manage and monitor applications and supporting materials on Jotform platform. Coordinate all logistics for meetings of decision committee. Draft call for applications. Liaise with communications team to ensure all phases are properly advertised. Work with director to select shortlist. Notify winners, decision committee, AAC, and staff of final results. Assist in stewardship of donors who support awards. (30%) General Administration for
HBI :
Act as a front-line resource to respond to questions about program operations by answering emails and responding to phone calls. Track and record gifts and expenditures. Schedule and create agendas for weekly team meetings as well as other meetings as assigned. Pay and reconcile HBI and director expenses. Order and maintain office supplies (15%) General Administration for
Mandel Center:
Provide general administrative support to the directors, associate director, research faculty, and staff as needed. This involves scheduling, photocopying, coordinating mailings, business travel arrangements, tracking and submitting expenses for reimbursement, support for courses and speaking engagements, and compiling materials for faculty membersâ™ service commitments (such as the Wechsler awards committee). Order books and periodicals, oversee memberships and subscriptions. Serve as public face of the Center, greeting and directing visitors, callers, and emailers. Receives and distributes mail and deliveries. Oversee ordering and maintaining of inventory of office supplies. Arrange for repairs and maintenance as needed. Assist the events coordinator with planning, preparing and supporting in person events. Order food for office meetings and internal events (such as JEWG). Â Provide light support for use of and troubleshooting office and computer technology. Set up Zoom calls and basic A/V for video conferences and web meetings. Assist budget manager with corporate credit card processing, including entering expense descriptions, allocating expenses to budget accounts, compiling expense reports, and follow up with merchants in the event of disputes or discrepancies. (20%)
Other Duties :
Other duties as assigned (5%) The salary range for the position is $47,500-$59,200 (annulized, will be paid hourly)
