Job Description

We are seeking a _Program Coordinator - Credentialing, Licensing, and Compliance_ who will manage and coordinate all credentialing, onboarding, and compliance processes for clinical staff within the integrated Primary Care and Mental Health clinics of Student Health & Well-Being (SHWB). This includes medical providers (physicians, nurse practitioners, nurses, medical assistants, dietitians) and mental health clinicians (psychologists, psychiatrists, therapists). Serving as the first point of contact for clinical onboarding and offboarding, the Program Coordinator plays a vital role in ensuring all credentialing, licensure, and regulatory requirements are met and maintained. The worksite location for this position is designated as Homewood and East Baltimore.
  • Specific Duties & Responsibilities
  • + Contribute to goal setting and identify program operational requirements to meet programmatic goals.
+ Obtain and utilize internal and external resources to meet program goals. + Serve as primary contact for the program with internal departments and external organizations. + Responsible for monitoring budget expenses, processing invoices, performing budget reconciliation, and assisting with budget development. + Compile documentation related to funding and finance. + Identify and resolve programmatic problems. + Assist with planning events and coordinate preparation, set up and logistics for events/ functions. + Coordinate communication activities via websites, social media channels, and publication materials as needed. + Ensure timely, accurate and appropriate reporting of program activities. + Monitor and track clinical licenses and certification deadlines, including DEA, CDS, board certifications, memberships, and CEUs. + Maintain and organize credentialing and compliance documentation to support institutional accreditation efforts. This includes leading on-going collaborative efforts across both units and their respective clinical liaisons. + Track Continuing Education for all applicable staff and coordination with finance team for payment processing of licensure, memberships, conferences, training and any relevant staff professional development reimbursements. + Serve as the first point of entry for all staff, overseeing the end-to-end onboarding and off-boarding process, including orientation to SHWB policies, procedures, and orientation checklist as applicable. + Oversee training and compliance documentation through Learning Management Systems (LMS) and PowerDMS for all staff. Ensure that all clinical staff are up to date on mandatory training, institutional policies, and accreditation-related documentation. + Other duties as assigned.
  • Knowledge, Skills, and Abilities
  • + Proficient with Microsoft Office programs including Outlook, Word, Excel, and PowerPoint.
  • Minimum Qualifications
  • + High school diploma or graduation equivalent. + Four years progressively responsible administrative experience. + Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
