Job Description
Primary Shift:
Monday- Friday 10am-6:00pm Position Summary The Program Support Specialist provides administrative coordination and direct service support to ensure effective program operations and quality care for individuals served. This role assists leadership with documentation, scheduling, communication, and operational tasks while also supporting individuals with intellectual and developmental disabilities in community-based settings. The position serves as a key link between program management, staff, individuals served, families, and community partners. The Program Support Specialist ensures accurate documentation, maintains organized records, supports daily program activities, and promotes a safe, supportive, and person-centered environment. Primary Responsibilities - Administrative & Program Coordination Provide administrative support to the Director and program staff. Maintain departmental records, reports, and program documentation. Prepare correspondence, reports, and program materials as assigned. Answer telephones, respond to inquiries, and relay messages to appropriate staff. Schedule appointments, meetings, and program activities. Maintain organized filing systems and program records. Track documentation such as incident reports, activity logs, and compliance records. Distribute mail and maintain office supplies and program materials. Utilize agency technology systems for documentation, scheduling, and communication. Communicate effectively with staff, families, and community partners. Direct Support & Individual Services Provide direct support to individuals with intellectual and developmental disabilities in community-based settings. Assist individuals in developing independent living skills, including personal hygiene, meal preparation, budgeting, and daily living tasks. Encourage participation in recreational, social, and community activities. Support individuals in following their Individual Plans (IP) and personal goals. Actively engage individuals in community participation and daily activities. Serve as a positive role model promoting dignity, respect, and independence. Health, Safety & Medication Support Administer medications according to physician orders and medication administration procedures. Maintain accurate Medication Administration Records (MAR) and follow medication protocols. Monitor individuals for health concerns and report issues to the nurse or supervisor as required. Follow emergency procedures and approved crisis intervention strategies when necessary. Maintain awareness of emergency protocols and required program documentation. Documentation & Compliance Complete required reports including activity logs, incident reports, and service documentation. Maintain accurate records related to services and daily activities. Track program documentation to ensure regulatory compliance. Follow agency policies, procedures, HIPAA regulations, and applicable state requirements. Report suspected abuse, neglect, or exploitation in accordance with agency and state reporting requirements. Community Support Responsibilities Support individuals in accessing community resources, activities, and services. Assist individuals with transportation to appointments, employment, educational programs, and community activities. Encourage skill development that promotes independence and community integration. Support individuals in managing personal belongings and funds in accordance with agency guidelines. On- Call Responsibilities Participate in the on-call rotation at minimum twice per month to support staff and individuals outside of regular business hours. Respond to urgent staff needs, callouts, and individual-related concerns, providing guidance and problem-solving support. Document and report incidents or significant events according to agency procedures Communicate concerns or changes in individuals' needs to supervisors promptly. Contribute to a positive, respectful, and supportive environment for individuals served and staff. Team Collaboration Participate in staff meetings, training sessions, and program planning activities. Communicate concerns or changes in individuals' needs to supervisors promptly. Minimum Requirements - Education High school diploma or equivalent required. Additional education in Human Services or a related field preferred. Experience Experience providing direct support to individuals with developmental disabilities and assisting with administrative or program coordination preferred Technical Skills Basic computer proficiency required. Experience using Microsoft Office (Word, Excel, Outlook). Ability to use electronic documentation or scheduling systems. Ability to successfully complete a computer or software skills test if required. Skills Strong organizational and communication skills. Ability to maintain accurate documentation. Ability to support individuals with dignity and respect. Ability to work independently and as part of a team. Additional Requirements Valid driver's license with acceptable driving record. Ability to lift, transfer, or assist individuals as required (may exceed 50 pounds). Ability to work flexible schedules, including evenings, weekends, or holidays if needed. Successful completion of background checks and required regulatory screenings.Pay:
