Position Title:
Program Coordinator Position Summary The Program Coordinator plays a key role in supporting the successful execution of custom automation projects from quotation through final customer acceptance. This position serves as a cross-functional coordinator, working closely with Operations, Sales, Engineering, Vendors, and Customers to ensure project requirements, schedules, and deliverables are aligned and executed effectively. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced Engineer-to-Order (ETO) manufacturing environment. Key Responsibilities Review customer RFQs (Requests for Quotation) to identify project requirements, timelines, deliverables, technical specifications, and commercial considerations. Analyze and track project schedules to ensure milestones are achievable and communicated across teams. Review and coordinate Factory Acceptance Test (FAT) and Site Acceptance Test (SAT) requirements, ensuring all necessary documentation, resources, and activities are planned and executed. Serve as a liaison between Sales, Operations, Engineering, Customers, and Vendors throughout the project lifecycle. Coordinate internal project kickoff activities and support project planning efforts. Track project progress, action items, risks, and deliverables to ensure commitments are met. Support procurement and vendor management activities, including obtaining quotations, tracking deliveries, and coordinating schedules. Assist Sales with proposal development, RFQ reviews, project transitions, and customer communications. Facilitate communication between departments to identify and resolve issues that may impact project schedules, costs, or customer satisfaction. Maintain project records, documentation, meeting notes, status reports, and project-related databases. Support continuous improvement initiatives related to project execution, scheduling, customer satisfaction, and operational efficiency. Qualifications Associate's or Bachelor's degree in Business, Project Management, Engineering Technology, Mechanical Engineering, Industrial Engineering, or a related field preferred. 3+ years of experience in project coordination, program coordination, operations support, or project management within a manufacturing, automation, engineering, or industrial environment. Strong familiarity with Engineer-to-Order (ETO) manufacturing and project-based business models. Experience reviewing technical specifications, customer requirements, and project documentation. Working knowledge of SolidWorks and the ability to understand engineering drawings, assemblies, and project documentation. Strong organizational and multitasking skills with the ability to manage multiple projects simultaneously. Excellent written, verbal, and interpersonal communication skills. Proficiency with Microsoft Office Suite and project management/tracking software. Ability to effectively collaborate with customers, vendors, engineering teams, and internal stakeholders. Strong problem-solving skills and attention to detail. Preferred Qualifications Experience in custom automation, machine building, systems integration, robotics, or industrial equipment manufacturing. Direct experience coordinating automation projects from concept through installation and customer acceptance. Familiarity with Factory Acceptance Testing (FAT) and Site Acceptance Testing (SAT) processes. Understanding of mechanical and electrical engineering workflows. Experience with ERP systems and project scheduling tools. Knowledge of procurement, supply chain coordination, and vendor management practices. Pay:
$50,000.00 - $70,000.00 per year
