About the Role The Program & Operations Specialist is the operational backbone of Wisdom Ways — ensuring programs, events, and participant communications run smoothly and professionally. This role is ideal for someone who is highly organized, detail-oriented, and energized by the behind-the-scenes work that makes meaningful community programming possible. The Specialist interfaces directly with participants and supports the full program lifecycle from promotion through evaluation.
Key Responsibilities:
Program & Event Support 40% In collaboration with WW staff, provide on-site and online operational support for Wisdom Ways programs and events — including room setup, materials preparation, technology support, and participant check-in. Serve as a welcoming, responsive point of contact for participants before, during, and after programs. Coordinate logistics for program support including supplies, catering, equipment, and vendor communications as needed. Program Evaluation & Reporting 10% Distribute, collect, and enter data from all program surveys and participant feedback forms. Compile program assessment reports and share findings with the Assistant Director in a timely manner. Maintain organized records of program attendance, feedback, and outcomes data. Participant Data & Database 5% Update and maintain the participant database with accurate registration, attendance, and contact information. Manage participant communications, including registration confirmations, reminders, and follow-up messages. Support the management of the Wisdom Ways email list and newsletter distribution. Communications & Social Media % 30 All communications and social media will have oversight, direction, and support from Accola's Marketing and Communications manager. Develop and design visuals for individual Programs Create and Execute program collateral (flyers, cards, etc.) Create Social Postings to promote ongoing programs and events Maintain Social Pages to ensure latest promotions are live Facebook Events Pinned Stories Manage Customer Communications across platform including responding to questions via messenger and to emails regarding program questions Program Catalog & Promotions 10% Design, develop, produce, and distribute the Wisdom Ways program catalog each cycle, in coordination with the Assistant Director and Accola's Communication and Marketing Manager. Ensure the catalog is accurate, visually consistent with the Wisdom Ways and Accola brand, and distributed through appropriate channels on schedule. Update catalog and program listings on the website and relevant digital platforms as per plan. Organizational Participation 5% Attend Wisdom Ways team meetings and contribute to a collaborative, mission-aligned team culture. Wisdom Ways is a program of Accola, so attending organization wide meetings and collaborating across programs is critical. Other duties as assigned. Minimum Qualifications 2+ years of experience in program coordination, administrative support, event operations, or a related role. Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously. Social Media Management Proficiency Proficiency with Microsoft Office, Google Workspace, and database or registration platforms. Proficiency with Canva and/or Adobe Photoshop, Illustrator, & InDesign Excellent written and interpersonal communication skills. A warm, welcoming presence and genuine care for participants and community members. Commitment to Accola's values of inclusion, compassion, and justice. Preferred Qualifications Experience with nonprofit program or event administration. Familiarity with email marketing platforms (e.g., Mailchimp) or CRM/database systems. Interest in or connection to authentic community engagement, diverse approaches to spirituality and religion, and/or social justice work.
