Full-time, Hourly Job Summary :
The Volunteer & Guest Services Specialist supports the Volunteer & Guest Services Coordinator in the daily operations of Crosslines Community Outreach (CCO), with a primary focus on the Food Pantry and volunteer engagement. This role ensures effective volunteer coordination, accurate data management, and compassionate guest support, while helping maintain operational excellence across assigned programs. Key Objectives for success : Volunteer & Guest Support Assist in maintaining a well-organized and appropriately staffed volunteer schedule across CCO programs, fostering a stable and supportive environment for volunteers and guests. Volunteer Recruitment, Retention & Recognition Assist in the development and implementation of strategies for volunteer recruitment, retention, and recognition to ensure a motivated and committed volunteer workforce, fostering engagement and acknowledging their contributions to the organization's mission. Data Collection & Maintenance Assist with ensuring accurate and timely entry, monitoring, and maintenance of volunteer data in Galaxy Digital and guest data in Salesforce to support reporting, evaluation, and strategic planning.
Essential Functions :
Volunteer & Guest Management Schedule and manage warehouse volunteers and Community Service workers. Assist in addressing and resolving guest concerns, including eligibility and behavioral issues. Assist with group volunteer opportunities, including Holiday Distributions. Communicate with group leaders before and after scheduled service dates. Assist volunteers in completing paperwork for each volunteer opportunity to maintain volunteer files and background check processes Volunteer Engagement & Recognition Capture and share volunteer stories in collaboration with the Social Media Coordinator to highlight impact and engagement. Support the Volunteer Resource Team with projects and administrative tasks as needed. Assist in regular volunteer communication and recognition. Data Management & Reporting Assist in the collection and compilation of internal and external data for program evaluation and reporting. Assist with creating and managing volunteer opportunities in Galaxy Digital Assist with maintaining accurate and up-to-date guest records in Salesforce. Must be able to drive locally on occasion for work-related assignments.
X Grasping/Feeling:
Must be able to type, handle documents, and use equipment and electronic devices.
X Reaching:
Must be able to reach above shoulder. X Frequent physical duties include : Lifting and moving folding tables, chairs, signs, boxes, and supplies as needed for volunteer and group activities. Operating equipment such as a pallet jack and assisting with stacking and unstacking pallets.

Work Hours :
CCO offers flexible scheduling options for staff, allowing them to choose between a typical Monday through Friday schedule with five eight-hour days or a modified schedule with four nine-hour days and a half-day on Fridays. Occasionally, program needs may require different schedules, including evening or weekend hours. Supervisors will regularly discuss schedules to ensure coverage of program needs, and employees must always obtain prior approval from their supervisor to change their schedule. One Wednesday evening per month is required to support pantry operations. Occasional overnight coverage for Safe to Sleep may be required. Flexible scheduling may be available to offset evening or weekend hours with prior approval from the Volunteer & Guest Services Coordinator.

Education, Experience, and Qualifications :
Associate's degree preferred, or equivalent experience coordinating or leading volunteers. Strong organizational skills with excellent verbal and written communication abilities. Demonstrated ability to provide exceptional customer service and build relationships with individuals from diverse backgrounds and beliefs. Ability to manage multiple projects, adapt quickly, and maintain efficiency in dynamic environments. Strong interpersonal skills with a consistent display of professionalism in person and by phone. Self-motivated with the ability to meet deadlines and work with minimal supervision. High attention to detail and an understanding of the importance of data accuracy for reporting and compliance.
