Job Description
Position Summary:
The Pre-K Program Specialist is responsible for working in collaboration with other team members to ensure the Three School and NC Pre-K programs remain in compliance with NC Pre-Kindergarten Program Requirements and Guidance specific to eligibility, enrollment, and North Carolina DCDEE licensing regulations as applicable. The primary focus of the Pre-K Program Specialist is to develop and implement systems for planning, record-keeping, reporting, and monitoring of all aspects of program eligibility and enrollment. As the Pre-K Program Specialist, you will monitor the acceptance and processing of applications, exchange of applications with Onslow County Schools, eligibility determination, and ongoing administrative support duties. You are also responsible for supporting the delivery of community outreach and recruitment events. As the Pre-K Program Specialist , you will support our agency's approaches to the problems we are trying to solve which include child abuse prevention & intervention; connecting families with professional mental health services to help children cope with trauma; and assisting families in locating and connecting with resources for themselves and their children at the time of application follow-up. This position is a full-time position. This position is not responsible for the supervision of others and reports directly to the Pre-K Director.Responsibilities/What You'll Do:
Demonstrate commitment to One Place mission, values, and policies in the performance of daily job duties. Manage administrative functions specific to program database systems such as ChildPlus, SSRS, Pre-K APP, Pre-K KIDS, and PreK Plan Monitor the child reimbursement process by receiving, reviewing, and processing attendance for the NC Pre-K and Three School programs to include securing appropriate signatures and providing ongoing training to Pre-K Site Administrators focused on the access and effective use of ChildPlus and the NC KIDS database systems. Prepare attendance reports and reimbursement invoices while maintaining accurate records. Develop, monitor, and train supporting program staff on Three School and NC Pre-K Program child application intake and processing procedures. Receive, prepare, and process Three School and NC Pre-K child applications to include data entry into the ChildPlus and NC Pre-K App. Monitor the completion of developmental screenings as part of the child application process & identify relevant educational opportunities & family/community resources Monitor the waitlist for the Three School and NC Pre-K program. Collaborate with the Pre-K Director through the prioritization and placement process which includes creating acceptance letters, sending acceptance letters to Pre-K Site Administrators, maintaining correct placement lists, and organizing and maintaining all materials related to the prioritization and placement process. Monitor enrollment for the Three School and NC Pre-K programs through the receipt of child acceptance letters and withdraw/transfer forms. Organize NC Pre-K Committee meetings to include scheduling, attendance of required Committee Members, assist with creating meeting agendas and relevant supporting documents, and taking meeting minutes Support the monitoring of internal and external program requirements, to include the NC Pre-K Program Requirements, NC Pre-K Fiscal and Contract Manual, andTANF/CCDF
regulations. Maintain compliance with One Place and Pre-K Practices and Procedures regarding the implementation of assigned duties and responsibilities. Participate in staff meetings, attend conferences, training/workshops, and meet agency and program standards, as required, at times outside of non-traditional hours. Participate in One Place community outreach and program specific recruitment events. Build and maintain respectful professional relationships with staff, children, families, and community partners. Collaborate with other One Place staff members to connect families with relevant community resources. Support the One Place Training Program by assuming the role of second facilitator for training, as needed. Maintain confidentiality regarding staff and family information. Maintain professional standards and professional courtesy policies. Actively participate in professional development opportunities and ongoing self-improvement. Report suspected child abuse and neglect to appropriate agencies and Pre-K Director in accordance with local and state regulations. Flexibility to accommodate changes in job responsibilities due to changing program demands as requested by the Pre-K Director.Qualifications/What You'll Need:
Associate degree is required Minimum of 1 to 3 years of experience in an administratively focused work-related field Highly organized and able to exercise strong attention to detail Strong working knowledge of Microsoft Office and database management Proficiency in technology Capacity to evaluate, coordinate and implement various programs as well as track efforts and report outputs/outcomes Ability to think critically and exercise independent judgement and discretion Capability to handle multiple tasks with competing priorities under minimal supervision Excellent interpersonal and communication skills in both program and outreach settings Energetic, self-motivated team player with a learning attitude, able to meet deadlines Experience working with diverse families, agencies, and organizations Knowledge of NC Pre-Kindergarten Program Requirements and GuidanceSimilar remote jobs
