  • Full-time The Intake & Program Coordinator oversees guest intake processes and supports the execution of select community-based programs.
This role ensures accurate documentation, organized service flow, and clear communication across programs. The Intake & Program Coordinator serves as a first point of contact for many guests and plays a key role in connecting individuals to appropriate services and resources. This position focuses on operational excellence, consistency, and support of established initiatives.
Key Responsibilities Intake Operations:
  • Manage daily intake procedures, ensuring accurate, confidential, and timely guest registration.
  • Maintain and update intake records in accordance with organizational standards.
  • Assist guests in identifying service needs and connecting them with the appropriate internal programs.
  • Support data collection and reporting related to guest services. Program Coordination & Support
  • Coordinate logistics and implementation of assigned programs, including, but not limited to: o Kids Cooking. o Outreach initiatives. o Community Resource coordination. o Lunch Break Bus engagement.
  • Prepare materials, manage schedules, and ensure operational readiness for program days.
  • Provide on-site support during program activities to ensure smooth execution.
  • Track participation and assist in compiling program updates as requested. Outreach & Communications
  • Coordinate the distribution, display, and upkeep of program flyers in public areas, ensuring materials are current, visible, and aligned with active services and events.
  • Ensure timely communication of upcoming services to guests and volunteers.
  • Maintain organized calendars and schedules related to assigned programming. Community Resource Support
  • Maintain and update lists of community partners and referrals resources.
  • Assist guests with basic resource navigation and information sharing.
  • Support the organization's network of service providers by keeping materials current and accessible.
  • Coordinate and oversee the community partner tabling schedule, including confirmations, space logistics, and internal communication to ensure smooth on-site engagement. Qualifications & Skills
  • Strong organizational skills and attention to detail.
  • Clear and professional written and verbal communication skills.
  • Ability to manage multiple tasks in a structured, fast-paced environment.
  • Comfortable working directly with diverse populations in a supportive and respectful manner.
  • Proficiency in Google Workspace and data entry systems.
  • Ability to maintain confidentiality at all times.
  • Bi-Lingual (English / Spanish) Experience & Education
  • Minimum of 2-3 years of experience in intake coordination, program support, administrative operations, or community services.
  • Experience in nonprofit, human services, or community-based settings preferred.
  • Associate's or Bachelor's degree in social services, nonprofit management, communications, or related field preferred: equivalent experience considered. Key Attributes
