The Program Coordinator is responsible for providing comprehensive advising support, guiding students through the application and acceptance process for the Wells in Florence Program at Manhattanville University. The focus of the position is on student coordination, advising, operational logistics, and other administrative tasks. Founded in 1972, the Wells in Florence study abroad program offers a unique opportunity to study and live in one of Italy's most important and dynamic cultural centers. After the closure of Wells College-the program's namesake institution-Manhattanville University became the new school of record in 2024. The Wells in Florence program serves approximately 150-200 students each year and accepts students from any accredited U.S. college or university. This is a remote, U.S.-based position that offers flexibility while requiring regular virtual collaboration with students nationwide, Florence-based staff, global partners, university partners, and Manhattanville University offices in Purchase, NY. Occasional travel-primarily for site visits and college fairs-is part of the role.Supervisory Responsibilities:
Partial oversight of 3-5 Student Ambassadors per-semesterDuties/Responsibilities:
Move students through the admissions process and manage applications for Wells in Florence study-abroad students Audit student files and ensure all paperwork is accurate and submitted by semester deadlines Track deposits and review program fee invoices for accuracy (in coordination with the billing office) Oversee the student ambassador program, including coordinating inbound social media content. In collaboration with the Director, support marketing and outreach efforts-such as college fair follow-up emails, website updates, and student lead follow-up-while contributing creative ideas to strengthen and expand program promotion Maintain, update, and send all pre-departure materials and student cohort communications In collaboration with the Director and in-country Resident Directors, serve as the U.S. organizational lead for Florence orientation each semester Provide comprehensive visa advising support, including liaising with the Italian consulate when necessary In collaboration with in-country Resident Directors, coordinate housing assignments and place students in appropriate apartments each semester Initiate and organize group flight reservations (in partnership with our travel agency) Serve as the primary contact for institutional relationships between Wells in Florence and sending/partner institutions Occasional travel to Florence (for orientation week) and to domestic study abroad fairs to represent the program Collaborate with in-country Resident Directors to resolve student issues and provide support as needed Work with study abroad program providers and partner institutions to remain current on student and program needs Other duties as assigned by theDirector Required Skills/Abilities:
Familiarity with Via TRM, TerraDotta, or other application management systems and databases Ability to learn and improve current workflow processes in the application management system Excellent oral and written communication skills Experience with student admissions, student programming, and enrollment processes Ability to work independently while also collaborating with team members Ability to work with a diverse group of students, faculty, and staff A multi-tasker who is extremely organized and detail-oriented Excellent time management skills with a proven ability to meet deadlines Strong analytical and problem-solving skills Proficient with all Microsoft Office Suite or related softwareQualifications:
Three or more years of professional experience in the study abroad field, within a higher education or third-party provider setting Demonstrated experience advising students and communicating with students/parents strongly preferredValid Passport Education:
Bachelors degree requiredPhysical Requirements:
Prolonged periods of sitting at a desk and working on a computer Some international and domestic travel required Must be able to lift up to 15 pounds at timesHours Expectation:
