Description:
SUMMARY The Realty Program Coordinator is responsible for supporting the Tribal Planning Department's realty and land management functions, including fee-to-trust (FTT) applications, land acquisitions and dispositions, lease administration, and property records management. This position plays a key role in coordinating real estate transactions, maintaining accurate property records, and ensuring compliance with applicable Tribal, federal, state, and local regulations.
PRINCIPAL ACTIVITIES & RESPONSIBILITIES
Coordinates and tracks realty-related activities, including land acquisitions, donations, transfers, and dispositions. Assists in the preparation, compilation and submission of Fee-to-Trust (FTT) applications. Maintains and organizes comprehensive and accurate property and land records. Serves as a liaison between the Tribe and external partners, including federal agencies (e.g. BIA), consultants, and other stakeholders. Supports lease administration activities, including 105(l) leases and other agreements. Tracks timelines, milestones, and deliverables for realty transactions and projects. Assists with due diligence activities, including title review, environmental documentation, and land use verification. Prepares reports, summaries, and dashboards related to realty and land management activities. Coordinates with GIS staff for mapping, land descriptions, and documentation. Assists in drafting correspondence, reports, and Tribal Council materials. Ensures compliance with applicable Tribal, federal, state, and local laws, regulations, and policies. Maintains strict confidentiality of sensitive land, legal, and Tribal records, maintain confidentiality and handling sensitive information with discretion. Provides logistical and administrative support for site visits, meetings, and public engagement activities. Maintains organized filing systems (electronic and physical) in accordance with records retention policies. Collaborates efficiently and effectively while consistently demonstrating professionalism and maintaining positive, respectful relationships with internal teams, external partners, and Tribal members. Other duties as directed by management.
LEVEL OF AUTHORITY & RESTRICTIONS
This position requires working independently without overseeing others, with no authority in decision-making.
PHYSICAL & MENTAL DEMANDS
Must be able to undertake self-directed research and work independently. Prolonged periods sitting at a desk and working on a computer. Vision abilities required by this job include close vision and the ability to adjust focus. Must be able to walk, talk, hear, use hands to handle, feel or operate objects, tools, or controls, and reach with hands and arms. Moderate noise level with frequent interruptions and distractions.
WORKING CONDITIONS & ENVIRONMENT
The noise level in the office work environment is usually moderately quiet. Will require working occasional nights and/or weekends. Occasionally exposed to conditions such as those found in variable weather conditions. Construction sites can be quite loud, and noise levels typically range from 70 to 120 dB, depending on the activities. Proper noise management is essential to protect workers' hearing. Must be willing and able to travel both locally and within the CTCLUSI service delivery area.
Requirements:
MINIMUM JOB REQUIREMENTS
Must be 25 years of age or older per our vehicle use policy. Must have a valid driver's license and be able to be insured to drive Tribal Government vehicles. A minimum of 5 years related experience or equivalent combination of education and experience. Working knowledge of realty & property management processes, workflow and terminology. Experience and proficiency in the use of Microsoft products (Excel, Outlook, PowerPoint, Word, etc). Strong verbal and written communication skills. Excellent interpersonal and customer service skills. Strong organizational skills and attention to detail. Ability to manage multiple tasks, prioritize workload, and meet deadlines. Basic understanding of risk awareness and issue resolution in administrative or project settings. Ability to communicate clearly and effectively in English, verbally, in writing or by other acceptable means. This position is considered a covered role per the CTCLUSI Background Investigations Policy. A state criminal background check and fingerprint-based background check will be required as a condition of employment. This position is designated as safety-sensitive and is subject to pre-employment and other authorized drug and alcohol testing in accordance with company policy. Please note that the use of marijuana is prohibited for employees in this position, regardless of state legalization status. Must have employment eligibility in the U.S. Indian preference will be observed in the hiring process.
