OT Program Coordinator
REPORTS TO
Operations Manager
SUMMARY OF POSITION
This position requires the OT Program Coordinator to work well with the entire staff and to know the services this organization offers. This position is in charge of organizing and coordinating the Occupational Therapy Department. You will have to become an expert on our policies, Medicare policies, and HIPAA compliance. You will assist the Occupational Therapist(s) and Certified Occupational Therapist Assistant(s) in making sure that this program runs smoothly and allow the OT(s) to focus on treating the clients. This position requires excellent communications skills, the ability to organize and prioritize tasks, and pay acute attention to detail. You would be expected to be a positive ambassador of Transportation Solutions in dealing with the patients, customers, vendors and partners.
DUTIES AND RESPONSIBILITIES
To include but not limited to: Contacting all clients to: Schedule their evaluation/training Invoicing clients when necessary using Quickbooks Collect payment from clients at the time of service Sending/emailing confirmation letters so clients arrive on time with the proper paperwork Manage OT program reports to track client progress. Manage clinical evaluation and driver training schedules for clients. Maintain relationships with numerous agency personnel throughout Erie and surrounding counties. Building files for clients in electronic storage systems. Billing insurance companies, State agencies, VA and any other source as required for the clients the Occupational Therapist(s) treated utilizing billing software. Looking up patient eligibility and benefits prior to their appointment per insurance company. Become proficient on billing pathways for OT staff services Processing explanation of benefits,(EOB), using Quickbooks Building client records in Quickbooks and adjusting the records as payments and EOB's are processed. Utilizing company emailing system Utilizing fax machine Assist in other departments when required Work closely with the OT staff and Operations Manager. Other duties may be assigned.
MINIMUM SKILLS REQUIRED
Proficient in computer software programs to include but not limited to: Microsoft, Quickbooks, and Google (Google Calendars, Gmail, and Drive are used often), Insurance billing software, electronic storage etc…. Strong multi-tasking and time management skills are a must. Excellent verbal and written communication skills Outstanding phone etiquette and customer service at all times, 2+ years experience in an office environment. Proof of outstanding organizational skills required (class attendance/training) Associate's or higher education preferred.
