Position Summary The Housing Program Coordinator plays a central role in implementing and managing Housing Whitefish's core programs, including the Workforce Rental Assistance Program (WRAP) and Legacy Homes rental units. This position is responsible for day-to-day program operations, applicant and landlord coordination, and outreach to employers and community partners. This is a people focused role that requires strong organization, clear communication, and the ability to work directly with a wide range of stakeholders including tenants, landlords, and local businesses. Success in this role includes maintaining efficient program operations, supporting positive participant outcomes, cultivating partnerships, and helping expand community awareness of Housing Whitefish programs. Key Responsibilities:
Program Administration (~50%) Manage application intake, eligibility review, and participant onboarding Maintain accurate program records and documentation Coordinate rental assistance payments and track compliance requirements Monitor participant status and conduct periodic check-ins Landlord & Property Coordination (~25%) Serve as a primary point of contact for participating landlords Support lease-up and turnover processes for Legacy Homes units Address landlord questions and help resolve issues as they arise Maintain and grow a network of participating landlords Outreach & Community Engagement (~15%) Conduct outreach to local employers, property owners, and prospective applicants Assist with marketing and communication efforts to increase program awareness Represent Housing Whitefish at community events and partner meetings Organizational Support (~10%) Assist with reporting, data tracking, and program evaluation Support grant reporting and compliance as needed Contribute to broader organizational initiatives and special projects Working Conditions Hybrid work environment (remote + in-person) Typical work hours between 8:00 - 5:00 pm M-F most weeks Occasional evening work with approximately 2 events/month on average Occasional weekend events Ability to sit and stand for extended periods of time and occasionally lift and/or move up to 25 pounds Reliable transportation and ability to travel throughout the Flathead Valley as needed Qualifications 2+ years of experience in program coordination, nonprofit administration, housing, property management, social services, financial services, or a related field. Ability to read, analyze, and interpret general financial information Strong organizational and program coordination skills, including the ability to manage multiple priorities and adapt as needed Strong initiative, with the ability to take ownership of projects and drive work forward in a dynamic, evolving environment Clear and professional communication skills, both written and verbal. Experience coordinating programs, events, or community-based initiatives Experience working in trauma informed programming with individuals from diverse economic backgrounds Experience using CRMs, case management, property management, or database systems Ability to maintain professional boundaries while working with program participants and community stakeholders Commitment to Housing Whitefish's mission of expanding housing opportunities and improving housing stability Preferred but not required: Experience in affordable housing, property management, or nonprofit programs Familiarity with income verification or eligibility-based programs Experience launching or implementing new programs, initiatives, or community-based services Knowledge of the Whitefish and broader Flathead Valley community Equal Opportunity Employer Housing Whitefish is an equal opportunity employer.
