WHAT YOU BRING
Associate's degree, Bachelor's degree, or equivalent combination of education and relevant experience preferred. Minimum of two (2) years of administrative, program support, data, reporting, or case management systems experience, preferably in a legal services, nonprofit, or public interest setting. Experience supporting grants, contracts, compliance reporting, case management systems, or program administration strongly preferred. Experience working with LegalServer or another case management database strongly preferred. Demonstrated commitment to social justice and serving low-income, immigrant, and underserved communities preferred. Qualifications
ABOUT THE ROLE
Under the direction of the Vice President of Programs or designee, the Legal Services Program Specialist provides administrative, data, reporting, and operational support for AJSOCAL's legal services programs. This position supports the delivery of legal services by assisting with LegalServer data integrity, case-related reporting, grant and State Bar reporting, records organization, and program coordination for legal services units. This position is directly connected to the administration, tracking, reporting, and support of AJSOCAL's legal services programs. The Legal Services Program Specialist will help ensure that legal services data, case information, and program records are accurate, complete, timely, and aligned with reporting and compliance requirements. This is fixed term position and IS covered under the Collective Bargaining Unit. Duties and Responsibilities 35% Legal Services Data, Reporting, and Compliance Support Support the collection, review, organization, and maintenance of legal services data for programmatic, grant, and regulatory reporting purposes. Assist with preparation of monthly, quarterly, semi-annual, and annual legal services reports, including State Bar and other funder-required reports. Run, compile, clean, and format case and client data from LegalServer and other internal tracking systems for legal services reporting. Conduct routine data quality review to help ensure accuracy, completeness, consistency, and timeliness of legal services case records and outcomes. Assist legal services leadership with tracking program deliverables, case outcomes, client services, and other performance indicators tied to legal services funding. Support audit readiness, monitoring visits, file review preparation, and documentation requests related to legal services grants and contracts. Maintain organized electronic files and reporting records related to legal services compliance and program administration. 35% Legal Services Program and Administrative Support Provide administrative support to legal services program leadership in connection with legal services operations, including scheduling, meeting coordination, document preparation, follow-up, and internal tracking. Support coordination of legal services workflows, including report deadlines, document collection, case record follow-up, and records management. Prepare correspondence, templates, spreadsheets, summaries, and other administrative materials related to legal services operations. Assist with maintaining legal services resource materials, internal procedures, reference guides, and reporting calendars. Support case management-related administrative processes, including data entry, case status review, document organization, and records reconciliation, under the direction of legal services leadership. Coordinate across legal services units to gather information needed for reports, compliance submissions, and internal planning. Provide logistical and administrative support for legal services meetings, trainings, and program planning activities. 25% LegalServer and Systems Support for Legal Services Support LegalServer-related administrative functions for legal services programs, including data entry support, report support, user follow-up, and troubleshooting coordination. Assist in the development, maintenance, and implementation of LegalServer-related procedures, guides, and training materials for legal services staff. Help identify data gaps, reporting issues, and process inefficiencies within legal services workflows and elevate recommendations to leadership. Support onboarding of legal services staff in administrative processes related to LegalServer, data entry expectations, and reporting practices. Collaborate with program leadership and administrative staff to improve consistency in legal services data collection, reporting practices, and file management. Attend relevant trainings related to LegalServer, reporting requirements, and legal services administrative systems as assigned. 5% Other Duties as Assigned Perform other legal services-related administrative and program support duties as assigned.
