Job Description:
Optomi, in partnership with a leading research hospital, is looking for a Program Operations Coordinator.
Position Summary:
The Program Operations Coordinator will provide essential administrative and operational support to enhance the efficiency of a cloud-based research program and the Software Engineering Group within Computational Biology. This hybrid role involves day-to-day coordination, documentation, communication, and process execution, working closely with program leadership and liaising with other institutional teams such as admin services and legal. What the right candidate will enjoy: Collaborating with a dynamic team Opportunities for process improvement Working in a hybrid environment What type of experience does the right candidate have: 2-6+ years of experience in administrative, program coordination, or operations roles Strong organizational and communication skills Proficiency with Microsoft Office, Point, or similar tools Ability to manage multiple priorities in a fast-paced environment Experience supporting cross-functional teams What the responsibilities are of the right candidate: Support execution of program operations, including scheduling, coordination, and task tracking Maintain program tracking for onboarding, vendor/contract tracking, contract/subscription renewals, and documentation status Assist in preparing recurring reports and summaries for leadership Identify and support process improvement opportunities across program workflows Manage calendar coordination, meeting scheduling, and logistics Support event planning for internal meetings and onboarding sessions Coordinate interviews and candidate itineraries for new hires and contractors Maintain and update internal program documentation, standardize templates, and ensure materials are up-to-date
