UTHealth Houston is seeking a Program Manager who will work with our Department of Development, serving an instrumental role in managing projects and providing strategic input on various program-related activities within the team. This position will align program activities to meet the department's goals and objectives. They will also provide administrative assistance to the Assistant Vice President of Development and support initiatives that recognize our care providers, faculty, donors, and students.

- Supporting the functions and activities of the Grateful Patient Program, including managing and coordinating meetings, providing administrative support, and partnering with the Grateful Patient Program Director in faculty engagement

Position Key Accountabilities:
- Serves as a high-level administrative liaison with others within and outside assigned areas regarding administrative issues on purchasing, personnel, facilities, and operations.
- Screens calls and emails, and receives and directs visitors.
- Manages assigned program-related projects and activities, including developing timelines, tracking project status, and producing analytic reports.
- Resolves general to complex inquiries and questions, and responds to correspondence or telephone contacts within the area of responsibility, in accordance with the guidelines established by the Assistant Vice President of Development.
- Composes correspondence and memoranda, prepares graphs, tables, and possibly speeches and mass communications, and prepares reports and presentation materials. May assist with grant and contract materials.
- Schedules and maintains calendars and travel itineraries; coordinates related arrangements in compliance with all University, governmental, and/or grant policies and guidelines
- Leads program strategies with key stakeholders and others to ensure that timelines, deliverables, and budgets are met for program-related projects and that purchase orders and invoices are processed in a timely manner.
- Receives, classifies, reconciles, consolidates, and/or summarizes documents and information.
- Compiles data from reports using required knowledge of departmental, project, and/or university policies and procedures.
- Accountable for data entry and accurate and timely submission of data for processing in the financial and/or human resources systems.
- Coordinates meetings and gatherings, room assignments, invites participants, and arranges refreshments and equipment as needed. May prepare and distribute meeting minutes.
- Regularly handles the highest level of confidential information and sensitive issues.
- Serves as a primary resource and a key liaison with internal and external constituencies on matters relating to program activities and projects.
- Develops solid working relationships with key partners, provides detailed communication to manage expectations, and provides timely guidance and feedback to accomplish a task or solve a problem.
- Identifies opportunities and leads strategies to enhance program operations to fulfill program goals and objectives.
- Oversees and/or coordinates the collection, compilation, and analysis of program activity data.
- Follows plans and protocols to ensure compliance with all federal and state laws and UTHealth policies, rules, and regulations.
- Performs other duties as assigned.
Minimum Education:
Bachelor's Degree in a related field required. May substitute required education with equivalent years of experience beyond the minimum experience requirement.
Minimum Experience:
3 years of experience in development, communications, marketing, or a related field required. Experience in a complex healthcare or academic environment preferred.
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
