CAYA is hiring a Part-Time Program Manager to run day-to-day program operations and logistics while building strong community connections with participants, families, employers, and partner organizations. This role supports program delivery, coordinates events, helps manage communications, and ensures our participants experience consistency, clarity, and meaningful support. You'll work closely with the Executive Director to keep programs organized, relationships warm, and outcomes moving in the right direction.
Schedule & Work Environment Part-time:
15-25 hours/week
Location:
Work at home in Virginia Beach/Hampton Roads; hybrid with in-person program/event support required (15%) Some evenings/weekends expected for classes and community events Key Responsibilities Program Operations & Logistics (Day-to-Day) Coordinate schedules, calendars, facilities, supplies, registration, and day-of logistics for classes and events. Manage participant communications (reminders, schedules, expectations, follow-ups) using clear, supportive, responsive, & respectful language. Maintain rosters, attendance, and basic records while protecting confidentiality. Create and maintain repeatable tools (checklists, timelines, templates) so programs run smoothly and consistently. Be the primary contact for program inquiries Participant Support & Inclusive Program Experience (Disability Services Lens) Provide on-site support during sessions (transitions, pacing, clarifying instructions, reducing overwhelm, reinforcing expectations). Collaborate with instructors/volunteers to ensure accommodations and inclusive practices are implemented effectively. Support participants using trauma-informed, strengths-based, and neurodiversity-affirming approaches. Escalate concerns appropriately and document incidents or support needs in alignment with CAYA policies. Community Connections & Partnership Building Build and maintain professional relationships with community stakeholders, including families/caregivers, service providers, schools/programs, nonprofits, and referral sources. Support employer engagement and partner pathways (volunteer, internship, employment opportunities). Represent CAYA at partner meetings, resource fairs, and community events; help expand visibility and trust. Program Delivery Support & Events Support presentations and workshop logistics (materials, slides, printing, room setup, A/V coordination). Assist with planning, communication, and executing events (registrations, partner tables, signage, run-of-show, day-of coordination). Coordinate volunteers and ensure they are prepared, scheduled, and supported. Data, Reporting & Continuous Improvement Track program outputs (attendance, completions, partner engagement) and support outcome measurement (surveys, feedback, success stories). Contribute to funder/grant reporting support through organized documentation and timely data capture. Identify operational gaps and recommend improvements to strengthen participant experience and program execution. General Nonprofit Operations Support basic administrative workflows as needed (purchasing within budget guidance, vendor coordination, agenda meeting minutes, monthly newsletter, and maintaining organized files). Maintain info@ email and respond in a timely and professional manner Provide flexible support to the ED as programs expand (translation: you can juggle, but you shouldn't have to juggle flaming torches alone). Light admin functions of social media (LinkedIn, Facebook, and Instagram) Other duties as assigned by the Executive Director. Required Qualifications (Must Have) Professional experience in disability services is required (examples: autism services, IDD services, vocational rehab/workforce supports, special education transition programs, community-based supports, case management, supported employment, adult day services, behavioral health, or similar). Experience coordinating programs, operations, events, or service delivery (nonprofit, education, human services, workforce development, etc.). Strong interpersonal skills with the ability to build trust with neurodivergent participants and families. Experience utilizing ChatGPT and other tools to create efficient processes and communications Excellent organization and follow-through—able to manage multiple moving parts and meet deadlines. Strong attention to detail and task management. Comfort working in a dynamic environment and staying calm when plans change. Commitment to dignity-forward, inclusive, person-centered practice. Preferred Qualifications Experience supporting adults/transition-age youth (16+) in employment readiness or independent living skill development. Experience with employer partnerships, community outreach, or referral networks. Familiarity with documentation and outcome tracking for grant-funded programs. Valid driver's license and ability to travel locally (if required for events/partners). Compensation & Benefits Hourly rate: $20 - $30/hour depending on experience
