  • 5/12/2026 Key Responsibilities The Medical Scheduler & Clinical Coordinator is responsible for the strategic management of provider calendars and patient flow.
This role goes beyond basic data entry; it requires proactive planning to ensure that 1-4 providers can effectively manage high patient volumes (15-18 patients per day) while maintaining high standards of care. You will act as the primary liaison between patients and providers to ensure surgical procedures and chronic care visits are timed perfectly. Key Responsibilities 1. Strategic Schedule Management Conduct daily audits of the following day's "calendar quick sheets" to ensure total readiness for all scheduled visits. Manage complex rotations for up to 4 doctors simultaneously, overseeing a high-volume window from 7:00 AM to 2:30 PM. Maintain a standard pacing of 3 patients per hour, with the flexibility to adjust blocks based on clinical necessity. 2. Clinical Coordination & Minor Procedures Proactively identify and pre-schedule minor surgical Health Care Resources (HCRs), including nail removals and injections. Monitor "Ordered Injection" lists to prevent postponements and ensure patients receive timely treatment. Collaborate directly with scheduling manager to determine appointment length requirements (15 vs. 30 minutes) for upcoming procedures. 3. Chronic Care (CC) Specialization Manage the specific scheduling requirements for Chronic Care appointments, ensuring a dedicated "one-per-hour" ratio. Utilize "half-hour mark" scheduling techniques to provide patients with the necessary buffer time for complex consultations. 4. Provider Liaison Communicate daily with scheduled providers to confirm time-allotment preferences. Protect provider breaks and administrative time (11:00 AM
  • 1:00 PM) while maximizing productivity during clinical hours.
Supplemental Information Risks found in the typical office setting, which is adequately lighted, heated and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc. Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work. Qualifications Minimum or "day-one" qualifications:
Proactive Planning:
Ability to look "one step ahead" to catch scheduling conflicts before they occur.
Clinical Knowledge:
Basic understanding of procedural timing (injections, minor surgeries) to allocate appropriate room and provider time.
Time Management:
Expert-level ability to calculate "patients-per-hour" ratios and adjust for variable appointment lengths.
Communication:
Strong interpersonal skills to negotiate scheduling needs with multiple physicians daily. About the Role Location
