This position serves as the organizational hub that helps ensure participants, families, volunteers, donors, and community partners have a positive and seamless experience. The ideal candidate is highly organized, relationship-oriented, detail-focused, and passionate about supporting individuals and families impacted by substance use and related challenges. This role combines program coordination, administrative operations, marketing support, and financial administration responsibilities within a collaborative nonprofit environment. Responsibilities Program & Event Coordination Coordinate logistics for workshops, educational programs, support groups, retreats, and special events. Marketing & Communications Promote programs, workshops, events, and fundraising initiatives. Manage Eventbrite event creation, registration tracking, and reporting. Coordinate email marketing campaigns and newsletters through Mailchimp. Assist with social media scheduling and content management. Gather participant stories, testimonials, photos, and other marketing assets. Update website content and event information. Support community outreach and partnership communications. Administrative Operations Serve as a primary point of contact for participants, volunteers, and community partners. Maintain participant databases and organizational records. Manage office systems, filing, and administrative workflows. Coordinate vendor relationships and operational logistics. Assist with board meeting preparation and organizational projects. Develop and maintain operational procedures and documentation. Financial & Grant Administration Support Working in collaboration with Thrive's fractional finance consultant: Process invoices and accounts payable. Maintain expense allocation and budget tracking spreadsheets. Track grant expenditures and restricted funding allocations. Support grant reimbursement requests and documentation. Maintain donor records and contribution tracking. Assist with data collection and reporting for grants and organizational metrics. Organize financial documentation and records for reporting and compliance purposes. Coordinate financial information with the organization's accounting consultant. Community Engagement & Partnerships Support outreach to community partners, referral sources, and stakeholders. Assist with presentations, community events, and partnership activities. Help strengthen relationships with participants, families, volunteers, and supporters. Support donor stewardship and engagement efforts. Skills Manage participant registration, communication, and follow-up. Create and maintain program calendars and schedules. Coordinate facilitators, volunteers, venues, and program materials. Provide onsite support for workshops, trainings, and events as needed. Track participation, attendance, and program outcomes. Experience in higher education teaching or supporting university programs Strong background in education administration with excellent organizational skills Proven ability to work effectively with students from diverse backgrounds Excellent communication skills to liaise between faculty, students, and administrative teams Familiarity with university systems, registration platforms, and educational technology tools Ability to multitask efficiently while maintaining attention to detail Enthusiastic team player committed to fostering a positive learning environment Required Excellent organizational, project management, and communication skills. Proficiency in Microsoft Word, Excel, Outlook, Sharepoint and Google Workspace Experience using Mailchimp, Eventbrite, and database management systems. Ability to manage multiple projects and deadlines simultaneously. Strong attention to detail and follow-through. Ability to work independently while collaborating effectively with a small team. Strong customer service and relationship-building skills. Preferred College degree, community college or technical college completion Experience in nonprofit, behavioral health, recovery, family support, education, or community-based organizations. Experience coordinating programs, workshops, trainings, or events. Familiarity with basic budget tracking and financial administration. Experience with social media management and content coordination. Understanding of trauma-informed, family-centered, and recovery-oriented approaches
