Volunteer Program Coordinator Full-Time | Non-Exempt Lily Creek Farms Therapeutic Riding Center is seeking a highly organized, compassionate, and mission-driven Volunteer Program Coordinator to lead and support one of the most important parts of our organization — our volunteers. At Lily Creek Farms, our mission is to heal mind, body, and spirit through equine-assisted and farm-related activities. Each week, we serve children, adults, veterans, first responders, and individuals with disabilities through therapeutic riding, equine-assisted learning, vocational programming, and community events. This role is ideal for someone who thrives in a fast-paced, people-centered environment and enjoys building relationships, creating structure, supporting teams, and helping others feel welcomed, valued, and successful. The Volunteer Program Coordinator oversees volunteer recruitment, onboarding, training, scheduling, communication, appreciation, and retention while working collaboratively with program staff to ensure safe and successful programming operations. This position requires flexibility, strong communication skills, emotional intelligence, and the ability to adapt quickly in a dynamic therapeutic riding environment. Essential ResponsibilitiesVolunteer Recruitment & Community Outreach Lead ongoing volunteer recruitment efforts through community outreach, partnerships, events, schools, civic groups, and social media Respond promptly to volunteer inquiries and guide applicants through the onboarding process Coordinate volunteer orientations and maintain a welcoming first impression for all volunteers Build relationships within the community to strengthen volunteer engagement and retention Encourage returning volunteers and foster long-term involvement Volunteer Scheduling & Communication Coordinate volunteer schedules for lessons, barn activities, and special events Maintain consistent communication regarding schedules, changes, cancellations, and program needs Assist with securing substitute volunteers when schedule changes arise Work collaboratively with instructors and leadership to ensure safe volunteer coverage for programming Help assess volunteer strengths and place volunteers in roles where they can succeed safely and confidently Volunteer Training & Development Coordinate and lead volunteer orientation and ongoing training opportunities Support volunteer education in areas such as horse handling, sidewalking, participant support, safety procedures, and program expectations Promote a positive learning environment where volunteers feel supported and encouraged Assist with continuing education opportunities and skill-building workshops Volunteer Engagement & Retention Foster a positive culture of belonging, teamwork, encouragement, and appreciation Help volunteers feel confident, connected, and valued within the organization Coordinate volunteer appreciation efforts and recognition programs Maintain positive, respectful, and ethical communication with volunteers, participants, staff, and community members Support a welcoming environment for individuals from diverse backgrounds and abilities Administrative & Program Support Maintain accurate volunteer records, attendance, schedules, background checks, and training documentation Track volunteer engagement and assist with reporting and database management Assist with communication efforts including emails, newsletters, reminders, and volunteer updates Support day-to-day therapeutic riding operations as needed Participate in staff meetings and organizational events Physical & Environmental Requirements Ability to work actively in a barn and outdoor environment in varying weather conditions Ability to walk, jog, stand for extended periods, and assist within arena footing Ability to lift and carry up to 40-50 pounds Comfortable working around horses and willing to learn Lily Creek Farms' horse handling and safety procedures Some evening and weekend availability required based on programming and special events Qualifications Experience coordinating, recruiting, or managing volunteers, teams, staff, or community groups preferred Strong organizational and time management skills Excellent interpersonal and communication skills Ability to remain calm, organized, and solutions-focused in a fast-paced environment Ability to manage multiple moving pieces while maintaining professionalism and compassion Comfortable using technology including email, spreadsheets, databases, and scheduling systems Experience with Salesforce or volunteer management software preferred Comfort working with individuals with disabilities and diverse populations Equine experience helpful but not required; willingness to learn is essential Passion for nonprofit work and commitment to the mission of Lily Creek Farms What Success Looks Like Volunteers feel welcomed, supported, and appreciated Programs and events are staffed safely and effectively Communication is timely, clear, and professional Volunteers receive quality onboarding and training Volunteer retention and engagement continue to grow Staff and volunteers work collaboratively as a team to support participants and the mission
