Job Description:
RIHub is a nonprofit startup and innovation hub supporting entrepreneurs, mentors, and high-potential growth startups across Rhode Island. Through mentoring, founder support programming, ecosystem engagement, and strategic partnerships, RIHub helps founders move ideas into scalable businesses. The Program & Operations Coordinator is responsible for executing and maintaining the operational infrastructure of RIHub's founder and mentoring programs. This role supports intake, enrollment, mentoring logistics, CRM coordination, documentation management, and ongoing program operations across RIHub systems and workflows. This role serves as a primary point of contact for entrepreneurs and students entering RIHub programming and plays an important role in maintaining consistent operations and a positive founder experience. Key Responsibilities Founder Intake & Enrollment Operations
  • Conduct intake and qualification conversations with entrepreneurs and students
  • Assess general fit for RIHub programs and ecosystem referrals using established program guidelines
  • Manage inbound leads, intake routing, follow-up communications, and enrollment workflows
  • Support lead conversion, program enrollment, and noDeal closeout processes
  • Escalate edge cases or complex program fit situations to the Director and Executive Director as appropriate
  • Maintain accurate contact, organization, and venture records across CRM systems
  • Coordinate Customer Discovery enrollment and completion workflows, including enrollment communication, reminders, and completion tracking Program Coordination & Mentoring Logistics
  • Coordinate scheduling and operational logistics for mentoring sessions, ProForma sessions, Pitch Scrubs, and related founder support programming
  • Coordinate entrepreneur onboarding, orientation scheduling, and mentoring readiness processes
  • Schedule mentoring sessions and manage calendar coordination, scheduling polls, reminders, and attendance verification
  • Maintain mentoring documentation flow, including agendas, ESS filings, LMFF filings, and post-session follow-up
  • Support mentoring session operations as needed, including Zoom setup, session initiation, attendance support, and first-session coordination
  • Support ongoing mentoring cadence continuity and identify engagement concerns or operational issues Monthly Mentor Meeting (MMM) Support
  • Prepare Monthly Mentor Meeting (MMM) materials and logistics, including slide decks, mentor surveys, attendance tracking, sign-up forms, and follow-up communications
  • Support mentor onboarding coordination and meeting readiness CRM, Systems & Operational Maintenance
  • Maintain CRM records, workflows, event linking, and operational data integrity
  • Support Google Drive organization, documentation standards, and file management processes
  • Assist with KPI tracking, reporting support, and re-engagement coordination
  • Monitor VMS venture activity and engagement status, conduct inactivity follow-up and reminder outreach, and execute inactive status transitions according to established program policies
  • Maintain consistent operational workflows and documentation processes across programs Community & Ecosystem Coordination
  • Support RI ecosystem coordination activities, including reminder communications, meeting logistics, and post-meeting follow-up distribution
  • Support ongoing founder, mentor, and ecosystem communication continuity across programs
Reports Directly To:
Director of Program Engagement Qualifications Program management and project coordination experience Strong organizational and time-management skills Excellent communication and relationship-building abilities Event planning and logistical expertise Problem-solving and critical-thinking skills Knowledge or experience within startup ecosystems, entrepreneurship, or innovation is a plus Bachelor's degree or equivalent experience in a related field is preferred Proficiency with collaboration and project management tools Flexibility to work part-time on-site in Newport, RI
