$52,526- $65,658 per year, USCA External Programs and Continuing Ed The Assistant Director of External Programs provides operational leadership for the Office of External Programs, with primary responsibility for conference center operations and customer service, daily department management, and direct supervision of one full-time staff member and one full-time temporary employee.

Bachelor's degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.Preferred:

Strong analytical and problem-solving skills to establish performance benchmarks and inform data-driven decisions. Excellent communication and interpersonal skills to serve as liaison to boards, community partners, students, faculty, staff, and external stakeholders. Proficiency in project management including budget oversight, vendor coordination, and meeting critical deadlines. Customer service orientation with ability to manage competing priorities during high-volume periods. Sound judgment and initiative to make independent decisions and manage department operations in the Executive Director's absence. Working knowledge of facility management systems, digital marketing platforms, and financial tracking tools. Demonstrated ability supervising staff and managing budgets while interacting effectively with diverse public audiences. Job Duties Job Duty Serve as the primary customer contact for all conference center facility rentals, events, and license agreements. Manage the complete agreement workflow from initial customer inquiry through contract closeout, coordinating with the Administrative Assistant on invoice processing and room setup requirements, and routing all completed agreements to the Executive Director for signature. Enter and maintain all reservations and events in 25Live or the current facility scheduling system. Ensure every agreement complies with USCA policies and procedures before submission. Develop and maintain customer service and satisfaction processes to support a professional rental experience. Manage the conference center budget, monitoring revenue and expenses against approved allocations, and develop an annual budget request for Executive Director review. Prepare monthly space utilization and financial reports for Executive Director review. Essential Function Yes Percentage of Time 30 Job Duty Oversee the daily operations of the Office of External Programs, ensuring all department functions are coordinated, all staff deadlines are met, and operational issues are identified and resolved efficiently. Directly supervise the Continuing Education Program Coordinator and the Administrative Assistant, providing clear direction, regular performance feedback, and accountability for each position's responsibilities. Maintain the department operations calendar to track all key deadlines, deliverables, program milestones, and events across the office. Conduct regular staff meetings to brief the team on week-forward priorities, assignments, and coordination requirements. Escalate operational issues, resource needs, and staffing concerns to the Executive Director as appropriate. Essential Function Yes Percentage of Time 25 Job Duty Provide supervisory oversight of Center for Lifelong Learning program operations through the Continuing Education Program Coordinator, who serves as the primary CLL operational manager and the department's liaison to the CLL Board of Directors. Attend CLL Board meetings in a supervisory oversight capacity to provide operational and administrative context when agenda items require it. The Continuing Education Program Coordinator presents to the board and manages the CLL Board relationship directly. Ensure CLL programs operate in alignment with department standards, USCA policies, and Executive Director direction. Support the Continuing Education Program Coordinator in resolving operational issues that require supervisory authority or cross-departmental coordination. Essential Function Yes Percentage of Time 20 Job Duty Oversee department marketing efforts and digital presence to strengthen External Programs visibility, support conference center utilization, and advance enrollment in Continuing Education and CLL programs. Monitor and maintain all External Programs web pages for accuracy, currency, and alignment with USCA branding standards, in coordination with the USC Aiken Marketing Department. Collaborate with the Continuing Education Program Coordinator on social media content development and community outreach. Ensure conference center marketing materials and web presence actively support customer engagement and facility booking goals. Essential Function Yes Percentage of Time 10 Job Duty Support the Executive Director in advancing External Programs' workforce development priorities across the Central Savannah River Area (CSRA). The Executive Director retains primary responsibility for all workforce development strategic relationships and partnerships. The Assistant Director provides operational coordination support, assisting with program logistics, scheduling, partner communications, and agreement processing for workforce development initiatives as directed. Integrate workforce development activities into the department calendar and ensure coordination with department staff as needed. Essential Function Yes Percentage of Time 10 Job Duty Through the department operations calendar, maintain milestone oversight of the semi-annual Center for Lifelong Learning catalogue production cycle. The Continuing Education Program Coordinator owns all aspects of catalogue production, including content development, vendor management, stakeholder coordination, and final delivery. The Assistant Director's role is one of timeline accountability: confirming that each defined production milestone is reached on schedule before the project advances to the next stage, and escalating schedule risks to the Executive Director promptly and other duties as assigned.
