At the University of South Carolina Beaufort, our transportation fleet plays a vital role in supporting students, faculty, staff, special events, and campus operations. We're looking for a detail-oriented, customer-focused professional who is ready to help keep our vehicles, records, and operations running smoothly. What You'll Do As the Fleet Program Coordinator, you'll work closely with the University Transportation Fleet Manager to coordinate daily fleet operations and ensure reliable transportation services across campus. In this role, you will: Coordinate daily fleet operations and transportation services for students, faculty, staff, and special campus events, helping ensure safe, efficient, and timely service while addressing operational issues as they arise. Assist with vehicle maintenance logistics by transporting vehicles for scheduled maintenance and repair services, retrieving completed vehicles, and serving as the primary point of contact in the absence of the Fleet Manager. Process vendor invoices through the University's PeopleSoft accounting system, verify receipt of goods and services, reconcile vendor accounts and statements, and maintain accurate financial records and supporting documentation. Maintain comprehensive fleet records and vehicle documentation, monitor inspections, maintenance schedules, registrations, and compliance requirements, and conduct regular audits to ensure adherence to safety regulations and university standards. Track vehicle usage, mileage, maintenance activities, and operational data, and prepare mileage, utilization, and safety reports that support effective fleet management and operational planning. Ensure efficient and timely transportation for students, faculty, and staff, and promptly addressing any operational issues to maintain high service standards. assists with transporting vehicles for scheduled maintenance/repair services, and picking them up from shops after work has been completed Serves as point of contact in the absence of the Fleet Manager. Essential Function Yes Percentage of Time 35 Job Duty Coordinate and maintain payments and reconcile vendor accounts and statements for vendors to include: Processing payment of invoices for vendors within the University accounting system (PeopleSoft) in a timely manner. Verifying goods and services have been obtained and matching invoices with proof of receipt documents, invoices and outstanding purchase orders as appropriate. Maintain up-to-date records and documentation for all vehicles, via trackable database, conducting regular audits to ensure compliance with vehicle safety regulations, inspections, and maintenance schedules. Also, Provides mileage and safety reports to Manager. Essential Function Yes Percentage of Time 25 Job Duty Ensure compliance with local, state, and federal transportation regulations and safety standards. Enforce policies and procedures related to campus transportation. Collaborates with university administration to align transportation strategies with broad institutional and community goals. Identify opportunities for process improvement, cost savings, and service enhancements within the transportation department.
