Job Summary:
The Program Support Assistant will provide administrative and programmatic support to the Enrollment Specialist, Match Support Specialists, Odessa Coordinator, and Program Director to ensure the successful delivery of mentoring services. This entry-level role assists with participant enrollment, match support, documentation, and outreach efforts. The Program Support Assistant helps create a positive experience for youth, families, and volunteers while supporting high-quality mentoring relationships that align with the agency's mission to ignite the power and promise of youth.
Qualifications:
High school diploma or equivalent required; associate or bachelor's degree (completed or in progress) preferred, or equivalent relevant experience in social services, education, child development, or related fields. Current college students and recent graduates are encouraged to apply. Experience working with children, youth programs, or volunteers preferred. Spanish language skills a plus. Basic computer skills, including Microsoft Office; experience with Salesforce/Matchforce preferred. CPR/First Aid certification preferred. Valid driver's license and reliable transportation required. Ability to pass background check and comply with child protection standards.
Job Responsibilities:
Assist staff with basic program tasks related to enrollment and match support. Schedule appointments, interviews, and trainings for youth, families, and volunteers. Make reminder calls, send emails, and provide general information to participants. Enter and maintain accurate, up-to-date information in the database in accordance with agency and Big Brothers Big Sisters standards. Help prepare materials for trainings, meetings, and match activities. Assist with match introductions and general follow-up communication as needed. Support recruitment efforts by attending community events and helping promote the program. Maintain confidentiality of all youth, families, and volunteers. Attend required trainings and staff meetings. Maintain accurate, up-to-date documentation of all interactions in accordance with agency and Big Brothers Big Sisters standards. Communicate important updates or concerns to supervising staff in a timely manner. Review/discuss issues with the Program Director, keeping Program Director aware of critical issues. Perform general office duties such as answering phones, organizing files, stocking supplies, and light cleaning. Occasional light work that could include moving objects up to 20 pounds.
Job Skills:
Basic organizational and time management skills with attention to detail. Clear and professional written and verbal communication skills. Friendly, professional, and customer-service-oriented demeanor. Willingness to learn, take direction, and adapt to new tasks. Ability to manage multiple tasks and stay organized. Ability to work both independently and as part of a team. Comfortable working with diverse groups of people. Basic problem-solving skills and ability to escalate concerns appropriately. Familiarity with the educational and social service systems as well as child protection practices and laws. Able to work a flexible schedule but primarily Monday through Thursday 8AM-5PM and Friday 8AM-12PM and the occasional after-hours events.
