Based in Washington, D.C., the Program Coordinator is a key member of the Archer Center's team. In collaboration with colleagues from across the Archer Center, the Program Coordinator's portfolio focuses on student engagement and program operations for both the Archer Center's undergraduate and graduate programs, with significant roles in program planning, student life, onboarding, communications, and operations. This role directly shapes the Archer Fellow experience, supporting students as they transition to Washington, D.C., build careers, and form a lifelong connection to public service. A successful candidate will be organized and detail-oriented, possess excellent verbal and written communication skills, be poised and professional in representing the Archer Center, and handle confidential information with tact and discretion. This position requires a high level of organizational and time management skills and the ability to work in a fast-paced environment that often includes multiple and shifting priorities. A successful candidate will be a proactive and collaborative professional with high EQ who is interested in public service, and the Washington, D.C., policy landscape. This role offers opportunities to grow in program coordination, student engagement, and higher education leadership within a leading experiential learning program. This position is based in The University of Texas System Washington, D.C., Office/Archer Center and reports to the Program Manager. Minimum Education and Experience - Bachelor's degree in related field. - 3-5 years experience providing support to programs or projects or equivalent combination of education and experience. Preferred Education and Experience Preferred Qualifications Working knowledge of the University of Texas System and its campuses Experience living and working in Washington, D.C. Familiarity with and ability to engage with a range of public and private sector institutions based in Washington, D.C. Experience in higher education or a related professional setting Demonstrated interest in public policy and public service Commitment to and alignment with the Archer Center's mission to educate and develop the next generation of leaders Knowledge, Skills, and Abilities (KSAs) Strong advising experience supporting students in experiential learning, including internships, student affairs, and/or residential life Exceptional organizational skills with a high level of attention to detail Excellent verbal and written communication skills Demonstrated ability to collaborate effectively across teams and stakeholders Ability to work with varies populations and foster an environment of respectful dialogue Other Qualifications To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position. Essential Duties and Responsibilities The Archer Center Program Coordinator is a key member of the Archer Center's Student Support and Programming team.
Duties include:
Student Experience and Engagement Serve as a primary point of support for incoming students, ensuring a smooth, welcoming experience. Coordinate key aspects of newly admitted student onboarding, including enrollment, registration and access to course management systems/platforms, collection, follow-up and confirmation of incoming student forms, and other onboarding-related duties, as assigned. Conduct initial review of Archer Fellow resumes and cover letters, providing structured feedback and recommendations in collaboration with the Associate Director, Professional Development, to ensure internship search readiness. Collect and manage internship-related documents and support the Archer Center in internship-related recordkeeping, as well as in the maintenance of comprehensive internship data. Partner with members of the Recruitment and Admissions team to manage master student onboarding documents. Collaborate with Archer Center staff to support admitted fellow workshops and orientation week events. Assist the Archer Center team with housing assignments, roommate agreements, and accommodations. Serve as the key point of contact for student needs, and a D.C.-based emergency student support contact. Communications and Outreach Ensure clear communication with students regarding programmatic schedule and expectations. Keep program calendar(s) up-to-date and disseminate the calendar(s) to stakeholders, including students and leadership, alumni, faculty, and colleagues. Assist Program Manager and Communications Manager in documenting Archer Fellow and Archer Center events through photos and other media. Assist with other communication duties, as assigned. Program Delivery, Events and Programming Lead the planning and execution of engaging co-curricular and student life programming that builds community and enriches the Archer Fellow experience, managing related event documentation. Play a key role in supporting Graduation Week, mentoring programs and other signature Archer Center events. Assist the Academic Director and Associate Director of Professional Development with administrative and event support, as needed. Operations and Administrative Support Manage suite presentation, supplies and inventory, facilities coordination, faculty tech support (as needed), and credit card reconciliation processes for East Coast-based team. Other duties as assigned. Some evening and occasional weekend work is required during peak program times, with flexible scheduling provided.
