Job Description

Under minimal supervision, support the Director of Engaged Learning with the daily operations of the Engaged Learning Office (ELO). Responsibilities include supporting academic Community-Engaged Learning (CEL) and Study Abroad programs. Lead the Civically Engaged Scholars (CES) program and manage the Community-Engaged Learning student fund. Duties include supporting professional development for faculty and students, administrative support of CEL, facilitating CES marketing, course instruction, and student advising and records tracking. Duties also include organizational support for events and programs, general administrative tasks, office management, budget tracking, and assisting with grant-related projects and scholarships. Successful interaction with campus departments, faculty, and community partners is required. The role includes in-person office staffing. Knowledge, skills and abilities Experience managing student programs and the ability to implement program improvements. Awareness of community and civic engagement and/or study abroad in higher education. Ability to apply policies and procedures. Superior organizational ability including knowledge of general office procedures, budget tracking, payment processing, and electronic file storage. Proficient in computer skills including email correspondence, Microsoft 365 apps, Canva, and database maintenance. Skilled in organizing events and workshops. Ability to schedule and organize meetings, manage notes, and track follow-up. Skilled in student advising and correspondence. Ability to create and execute marketing strategies. Attention to detail and accuracy. Excellent communication skills including customer service and phone etiquette, writing, and editing skills. Ability to follow written and oral instructions. Ability to work effectively with diverse groups, including faculty, staff, students, community members, and international visitors. Ability to communicate effectively with people from various socioeconomic, cultural, and ethnic backgrounds. Ability to work independently with strong organizational and priority-setting abilities. Ability to handle confidential information. Self-motivated and a team player. Dependable and able to perform tasks under stress. Flexibility to work on occasional evenings, or weekends. Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College. Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
Essential Duties:
Support community-engaged learning (CEL) program. Correspond with faculty, process faculty pay and provide administrative support for the CEL designation program. Support program evaluation and reporting on participants and demographics including data analysis. Promote events and professional development by creating flyers and managing registration and logistics. Help facilitate the annual celebration and student tuition waiver distribution. Manage the community-engaged learning student fund (CELSF) which includes tracking and approving projects and final reports, ensuring established processes are followed. Reconcile CELSF budgets, issue reimbursements, and purchase supplies. Advise CEL students and promote the program. Manage the Civically Engaged Scholars (CES) program Manage student support processes, including inquires, registration, advising, and program requirement confirmations. Support program improvements. Support program evaluation including data analysis. Respond to inquiries about the program via email, telephone, or walk-ins. Collaborate with campus departments, staff, faculty, students, and community members on program issues. Support events and programming and recognition of CES students. Assist with graduation logistics, including honor cords, commencement tent, event placement, and transcript designation. Assist with travel and conference attendance for students. Support Study Away Programs Advise students and answer general questions. Manage student support processes, including registration, payments, forms and participation requirements. Facilitate student orientations . Respond to inquiries via office walk-ins, email, telephone, or other apps. Support program evaluation including participants and demographics, and corresponding data analysis. Assist with scholarship reviews and connect students with local and national scholarships. Assist with logistics for flights, lodging, in-country transportation, itinerary, and travel insurance. Support budget tracking and payments for travel expenses. Collaborate with campus departments, staff, faculty, students, and community members on travel-related issues. Support events such as reunions or showcases. Assist with faculty and staff travel logistics, including approvals and reconciliations. Support office operations and overall office management Provide in-person assistance with office walk-ins and general customer support. Staff evening and weekend events as needed. Order office supplies and manage program libraries. Track overall budgets for the Engaged Learning Office. Bachelor's degree. Zero (0) to three (3) years paid, related work experience. Direct experience with high-impact practices such as community-engaged learning and study abroad. Higher education experience. Student program support experience.
