Job Description
The Program Associate, State & Territory VOADs serves as the primary support and relationship coordinator for National VOAD's State and Territory VOAD network. This position works closely with State and Territory VOAD leadership to strengthen organizational capacity, support member engagement, facilitate training and coordination activities, and enhance communication across the VOAD Movement. The position serves as a key point of contact between National VOAD and State/Territory VOAD leadership and requires strong interpersonal skills, excellent verbal and written communication abilities, and exceptional attention to detail. This role is ideal for an individual passionate about disaster services, nonprofit collaboration, and strengthening networks that support communities before, during, and after disasters. Key Responsibilities State & Territory VOAD Support Develop and maintain strong working relationships with State and Territory VOAD leadership Ensure State/Territory VOADs are aware of and receiving services, resources, and support offered by National VOAD Support awareness, coordination, and information-sharing related to ongoing disaster response and recovery activities nationwide Maintain accurate records of State/Territory VOAD leadership, governance structures, major initiatives, and organizational status Capacity Building & Training Collaborate with subject matter experts to develop training materials and educational resources Support the development and implementation of mentorship and capacity-building programs Facilitate virtual and in-person training opportunities throughout the year Assist with the coordination of webinars, workshops, and other learning opportunities Member Engagement & Coordination Collaborate and coordinate with diverse organizations within and outside the VOAD Movement Provide support to the elected State/Territory VOAD Liaisons serving on the National VOAD Board of Directors Lead and facilitate virtual meetings and collaborative discussions Represent National VOAD at meetings, conferences, and events as assigned Systems, Data & Process Management Utilize technology platforms to support situational awareness, member services, communications, and training Develop and document processes and standard operating procedures related to member services Maintain accurate data and reporting related to State/Territory VOAD engagement and participation Programs & Events Support planning and implementation of the National VOAD Annual Conference and member meetings Assist with logistics, communications, and participant engagement for virtual and in-person events Participate in disaster-related deployments and operational support activities as needed Internal Collaboration Collaborate closely with the Member Services Manager and other National VOAD staff Serve on internal work teams and support organizational initiatives as assigned Perform other duties as assigned in support of National VOAD's mission Required Qualifications Education & Experience Bachelor's degree in nonprofit management, emergency management, communications, business administration, public administration, or a related field preferred Equivalent combination of education and relevant experience will be considered Minimum 3-5 years of experience in emergency management, disaster services, nonprofit programs, communications, member services, or related fields Core Skills & Competencies Experience working with National VOAD members, State/Territory VOADs, Long-Term Recovery Groups (LTRGs), emergency management agencies, or disaster response operations Excellent written, verbal, and interpersonal communication skills Experience facilitating meetings, trainings, and collaborative discussions Demonstrated conflict resolution and consensus-building skills Strong project management and organizational abilities Ability to manage multiple priorities while maintaining attention to detail High comfort level with technology, databases, and virtual collaboration tools Ability to work independently in a remote environment Flexible and adaptable during disaster activations and periods of increased operational demand Preferred Qualifications Familiarity with curriculum development, training programs, and Learning Management Systems (LMS) Experience working with underserved or culturally diverse communities Additional language skills Experience with volunteer engagement and nonprofit networks Knowledge of disaster response, recovery, and emergency management systems Experience with public speaking, facilitation, or workshop delivery Additional Information This position may involve physical or virtual deployments to support disaster response operations. Occasional travel (up to 10%) is required. The above description identifies the major responsibilities of this position.
