We are seeking a compassionate, organized, and detail-oriented Family Services Support Specialist to join our team. This role is essential in supporting foster families throughout their licensing journey while ensuring compliance with Virginia licensing standards and providing critical office support. Position Summary The Family Services and Office Support Specialist is responsible for maintaining family and child files in compliance with Virginia State Licensing Standards for licensed child-placing agencies. This role supports foster families through the recertification process, monitors compliance requirements, coordinates documentation and training, and provides office and administrative support to ensure efficient daily operations. This position also serves as a key point of contact for foster families, helping maintain strong relationships and supporting homes in remaining compliant and prepared throughout their foster care journey. Key Responsibilities Family Services Support Serve as the primary contact for foster families within the assigned region Conduct Quarterly Management Reports (QMRs) and ensure resource home inspections are completed according to licensing standards Manage the recertification process for foster families, ensuring full regulatory compliance Maintain comprehensive and up-to-date family files in accordance with Virginia licensing standards Support foster families by helping connect them to appropriate resources and services Maintain timely and accurate documentation in both electronic health records and paper files Coordinate respite services and related documentation Monitor required foster parent training hours to ensure compliance Participate in the agency's on-call rotation, including crisis response and emergency placements Clinical Services Support Maintain child files for youth in care Coordinate documentation and file management with clinical case managers, clinical leads, and compliance staff Office SupportAdministrative Duties Assist with daily office coverage, including answering phones, greeting visitors, and distributing mail/faxes Order and maintain office and marketing supply inventory Support planning and coordination of team, family, and holiday events Attend required meetings, trainings, and supervision sessions Perform additional duties as assigned Qualifications EducationExperience Bachelor's degree in Social Work, Psychology, Sociology, or a related human services field required Minimum of three (3) years of experience working with the child welfare population Knowledge, SkillsAbilities Knowledge of Electronic Health Record (EHR) systems Strong understanding of confidentiality and HIPAA requirements Excellent verbal and written communication skills Strong organizational and time-management abilities Ability to manage multiple priorities and meet deadlines Strong customer service and relationship-building skills Ability to maintain accurate records and documentation Additional Requirements Valid Virginia driver's license required Ability to travel up to two hours one-way for visits Availability to work evenings and weekends as needed Participation in rotating on-call responsibilities required Must complete required trainings What We Offer We value our employees and offer a comprehensive benefits package designed to support your health, well-being, and work-life balance, including: Comprehensive benefits package with company-paid benefits Generous Paid Time Off (PTO) 6 paid holidays plus your birthday as a paid holiday Supportive and collaborative team culture Opportunities for professional development and training Meaningful work that positively impacts children and families Join Our Team If you are committed to supporting foster families, ensuring compliance excellence, and making a lasting difference in the community, we would love to hear from you.
