The Program Specialist 3 - Credentials Lead supports the mission of the college by promoting student access and success through timely, accurate, expert evaluation of incoming credentials; interpretation and application of campus, state, federal, and other guidelines, policies and regulations regarding credits and program requirements; the awarding of degrees, certificates, and other awards; the maintenance and proper handling of pertinent records; training and oversight of the Credentials team's work. The Program Specialist 3 - Credentials Lead takes a leadership role in the evaluation of transcripts and awarding of degrees, certificates, and other campus awards. As part of the Credentials team, this person has responsibility for transcript notations and additions; supervision and training of other evaluators and campus colleagues; evaluations, graduations, record tracking and maintenance; creation and maintenance of web pages and other public-facing information resources; tracking and maintaining necessary print materials for the area; creating and maintaining degree audit and other tools/systems for use by stakeholders. As part of the Credentials team, the Program Specialist 3 is responsible for creating and maintaining a supportive, responsive atmosphere with students, the public, and campus colleagues. This position is responsible for communicating with students, staff, faculty, and the public in a sensitive and professional manner through written correspondence, email, phone, and face-to-face contacts. This position requires the employee to work independently, anticipate potential issues; troubleshoot and resolve issues; and make sound decisions based on training and good judgement, in the best interests of students and the college as a whole. This position acts as a SME for various committees, and collaborates closely with Instruction to validate program requirements, make changes, and streamline communications. The Program Specialist 3 - Credentials Lead is required to participate in campus, state, local, and national committees, councils and workgroups, as assigned, and is expected to function as a Subject Matter Expert, in representing the college and the unit. As a Subject Matter Expert, the person in this role will be responsible for ctcLink projects and tasks for this and related units. This is a classified position reporting to the Dean of Enrollment Services. For information on applying, please see Application Procedures and Required Documents, below. Interpret and apply campus, state, federal, and other guidelines related to the evaluation and awarding of credits, degrees, and certificates using sound judgment and critical thinking skills; anticipate issues; troubleshoot and resolve issues Evaluate incoming transcripts; evaluate and award completed degrees, certificates, etc Maintain and update Degree Audit and/or other degree systems, webpages, and other public-facing information and resources. Collaborate with both Instructional and Student Services stakeholders at all levels. Oversee the daily operations of the unit to ensure work completion and deadlines are met; train new employees, advisors, faculty advisors, other departments, administrators, and other stakeholders as needed;guide other staff regarding degrees, requirements, placement, records, etc. Maintain accurate and thorough student and unit records; maintain and update a library of resources and print materials/supplies for the unit; train others and oversee their work in this area; create and maintain training & reference materials Attend and participate in various campus, state, and national committees, councils, and workgroups as assigned; act as SME for the unit Communicate in a sensitive, responsive, and professional manner with students, staff, faculty and the general public through written correspondence, email, phone, and face-to-face contacts Other duties and projects as assigned by the Dean of Enrollment ServicesREQUIRED QUALIFICATIONS
Two years of full-time experience in higher education, public services, program coordination or related experience Three years of increasingly responsible work experience in an office setting providing direct customer service, supervision, and/or training (Equivalent education/experience may substitute for these qualifications.) Demonstrated ability to work independently and apply sound judgment and decision-making skills Demonstrated experience working effectively with populations with varying levels of preparation and diverse goals (transfer, workforce, fulfilling high school graduation requirements, and enrichment). Experience advising students or evaluating credentials for students/customers in complex or high-volume settings Ability to interpret and apply federal, state, and institutional policies Demonstrated strong interpersonal skills, including conflict resolution and effective communication Proficiency in Microsoft Office, Google Workspace, and online student systems, preferably PeopleSoft or similarDESIRED QUALIFICATIONS
Bachelor's Degree Familiarity with admissions, advising, or registration procedures Experience using PeopleSoft or ctcLink Demonstrated experience in Credentials Evaluation, or similar increasingly responsible work in a professional office settingPHYSICAL WORK ENVIRONMENT
Work is typically performed in an office setting, and onsite/in-person. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Inventory management requires some lifting and moving of objects up to 30lbs. Excellent communication skills are essential. This includes the ability to speak clearly and fully comprehend written and spoken English and will include communication with people for whom English is not their first language. This also includes the ability to produce clearly written documents. Those who are multilingual are strongly encouraged to apply.WORK SCHEDULE
40-hour work week. Monday through Friday with varying start and end times (8:00am-4:30pm or 8:30am-5:00pm). Occasionally weekends per quarter if needed.COMPENSATION
Salary is range 53. Beginning salary is $56,880.00 - $64,440.00 annually, with progressive increases to $76,608.00, plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 3 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year).CONDITIONS OF EMPLOYMENT
