Job Description Housing & Food Services has an outstanding opportunity for Program Coordinator (NE

Non Supv) - Husky Card Office to join their team. About this Opportunity Reporting to Program Manager of Operations, Husky Card Office, the Program Coordinator - Husky Card Office is responsible for coordinating the card office front line operations, providing customer service to members of the University community in Photo Identification (ID) card issuance services and campus stored value account management services in a fast-paced environment. Interpreting, applying, and communicating prescribed University policies and procedures in the issuance and replacement of identification cards and declining balance cards for students, faculty, staff, retirees and visitors. The Husky Card Office provides integral services to members of the University community through the issuance of the University of Washington photo identification card (Husky Card) and the management of the campus stored value transaction system and accounts. This position serves as an integral member of the campus card office team.
Program Definition:
The program scope encompasses the software and hardware system, components, and support systems used to issue the official UW identification card, UW departmental badges, and a variety of campus services accessible through the card, such as the U-PASS program, printing, and the campus stored value accounts (Husky Card Account, Resident Dining Account, etc.) utilized by members of the University community. This is a system unique to the University of Washington and Housing & Food Services with its own policies and procedures. The position's responsibilities include performing daily ID production tasks, producing reports, assigned account management duties, and executing cashier, billing, and reconciling operations. Key Responsibilities Customer Service 30% Provide accurate and efficient customer service to students, faculty, staff, retirees, visitors, and the general public. Serve as the primary point of contact for the University community seeking campus ID card and account information and services. ID Card Services 25% Perform front-line card issuance services. Serve as a liaison with the ID offices located at UW hospitals, Bothell and Tacoma campuses to provide oversight of the policies and procedures related to Husky Card issuance. Coordinate all aspects of the card printing, mailing, and billing of new and replacement photo IDs and departmental badges for students, faculty, staff and retirees. Account Management Services 25% Produce daily and monthly sales reports for debit card accounts as requested. Assist in the quarterly funding of residential student dining plans. Process on-going dining level changes, cancellations, new move-ins, and vacates. Post charges and credits to the Housing Management System. General Office Operations 10% Execute daily operations which include opening/closing procedures, copy/printing, inventory, and processing payments using a POS register. Provide operational coverage support as needed to ensure continuous and efficient service. Fiscal Support 10% Perform monthly charges via ISD in Workday for badges, ID cards, etc. Perform month-end financial procedures, i.e. provide summary account reports, submit Journal Entry sales revenue transfers, bill for departmental service fees, etc. Required Qualifications To be considered for this opportunity your application must demonstrate you meet both the minimum qualifications and additional qualifications listed below. Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
Preferred Qualifications Experience that demonstrates:
Proficiency with MS Office applications. Excellent administrative, financial, organizational, and problem-solving skills. Excellent customer service skills and an ability to maintain a calm demeanor during high-stress and challenging situations. Strong written and oral communication skills and attention to detail. Ability to quickly learn and adapt to new systems and processes. Effectiveness balancing customer service and business needs. Success multi-tasking and prioritizing work. Experience in a university card office. Familiarity with transaction systems. Working Conditions Monday-Friday 8:00AM-5:00PM in-person shifts. This is not a remote or hybrid position.
POSITION COMPLEXITIES
This position will require the successful candidate to interact with students, faculty, staff, retirees, and visitors, reflecting a strong knowledge of the policies and procedures of the university card program, HFS stored value accounts, and associated campus services such as the U-PASS. The Program Coordinator will provide front-line customer service to cardholders and prospective enrollees in a fast-paced environment. This position requires a high degree of computer skills and ability to troubleshoot accounts while navigating through multiple web applications, electronic records, and maintaining amicable relations with customers and other UW departments. Work schedule during the week before and up to the first two weeks of the new quarter may vary, depending upon anticipated needs of the unit.
SUPERVISION RECEIVED
This position works under general direction of the Program Manager of Operations where work assignments are performed in accordance with guidance provided by supervisor. The employee plans and organizes the work, determines the work methods which will be used and assists in determining priorities and deadlines. Completed work is reviewed in terms of the employee's effectiveness and accuracy in producing results.
