Our client, a leading Pacific Northwest utility provider committed to public service and environmental stewardship, is seeking a Program Support Specialist for their Vancouver, Washington location. In this role, you will provide program, project, and administrative support to a fast-paced infrastructure and asset management organization supporting critical operational initiatives. Responsibilities include coordinating administrative and operational activities, supporting budgeting and reporting processes, assisting with scheduling and organizational tracking, and partnering with managers and cross-functional teams to help support day-to-day program operations and strategic initiatives. Pay Range:
$34.25.•36.25/hr., DOE
Location:
Vancouver, Washington•HYBRID•2 days per week onsite. Key Responsibilities for Program Support Specialist:
Provide program, project, and administrative support to infrastructure asset management leadership and operational teams within a fast-paced environment.
Coordinate and support organizational training programs by tracking completion status, maintaining reporting tools, analyzing training data, and communicating updates to leadership and staff.
Support employee engagement and recognition initiatives, including tracking action plans, coordinating events, processing award documentation, and supporting organizational communications.
Assist with staffing and workforce administration activities, including tracking staffing plans, supporting onboarding processes, maintaining HR-related records, and coordinating staffing documentation.
Develop and maintain tracking systems, reports, dashboards, spreadsheets, and SharePoint sites to support organizational operations, compliance, and project coordination.
Monitor organizational priorities, action items, and deadlines to ensure timely completion of deliverables and escalation of issues when needed.
Prepare, edit, proofread, and maintain correspondence, reports, presentations, meeting materials, and other documentation using Microsoft Office tools and Adobe Acrobat.
Coordinate meetings, calendars, travel arrangements, interviews, and events, including scheduling logistics, preparing agendas, tracking follow-up actions, and recording meeting minutes.
Serve as a liaison between managers, staff, and internal service groups including HR, IT, facilities, procurement, and security to support operational and administrative needs.
Support travel coordination and compliance activities, including processing travel authorizations and reimbursements in accordance with federal travel policies and procedures.
Maintain records, files, and documentation in accordance with information governance, records management, and compliance requirements.
Provide guidance and backup support to administrative team members while contributing to process improvements, procedure documentation, and standardization efforts.
Assist with organizational reporting, inventory tracking, onboarding activities, P-card documentation, and general operational support functions.
Support special projects, organizational initiatives, and leadership priorities while adapting to changing business needs and deadlines. Requirements for Program Support Specialist:
A degree in Business Administration, Business Management, Business Operations (or closely related field) is preferred.
With an applicable Bachelor's degree, 2 years of experience is required.
With an applicable Associates degree, 4 years of experience is required.
Without an applicable degree, 6 years of experience is required.
Experience should be workplace experience in mid/high-level, process-driven Customer Service or Operational Support positions
(Position examples: Bank or Credit Union Teller, Customer Service Assistant for Municipal or County government, Admissions Assistant for College Admissions office, etc.).
Intermediate to Advanced skills/experience with SharePoint or similar system sufficient to:
Support, manage, edit, and maintain site
Intermediate to Advanced skills/experience with MS Office Suite (Outlook, OneNote, PowerPoint, Word and Excel)
Demonstrated editing and proofreading skills and attention to detail
Familiarity with Visio or similar system is preferred.
