Job Description
Position Overview The Retail Project Coordinator manages post-sale project coordination for our direct to homeowner replacement customers, ensuring projects move efficiently from contract through final completion. This role verifies orders, coordinates product release, schedules delivery and installation, and serves as the primary point of contact for post-sale project execution between customers, Sales, Installation, and Operations teams. The coordinator monitors project progress, proactively addresses project-specific challenges, and communicates updates to ensure projects remain on schedule and prepared for installation while managing recovery items, reviewing completion documentation, maintaining job cost accuracy, and overseeing final payment collection. This position requires strong communication skills and the ability to build trusted relationships with homeowners while delivering the Pella Experience. Job Responsibilities
- Build and maintain strong relationships with homeowners, installers, and internal partners to support long-term customer satisfaction and deliver the Pella Experience.
- Serve as the primary post-sale point of contact for customers, coordinating all project details including product delivery, installation scheduling, accessory installation, and follow-up service needs.
- Verify order accuracy and confirm all materials, products, and equipment required for project execution are available and prepared prior to delivery and installation.
- Manage recovery efforts for shortages, damaged product, and order discrepancies by coordinating resolution with Warehouse, Delivery, Installation, and Service teams.
- Process change orders, customer requests, and project updates while maintaining accurate documentation and communication within company systems.
- Utilize and continually learn required software platforms (e.g., Salesforce) to maintain accurate project records and workflow updates.
- Review completion documentation, confirm project closeout requirements, and ensure all required project information is finalized.
- Monitor aging accounts and partner with accounting to support timely billing, documentation, and final payment resolution.
- Provide showroom support as needed by greeting customers, assisting with product questions, answering phones, capturing leads, and maintaining a professional showroom environment.
- Represent Pella at company events, builder functions, or industry activities as assigned.
- Work overtime and travel as needed to support project coordination, customer needs, and business operations across branch territories including Springfield (SPF), Northwest Arkansas (NWA), and Little Rock (LR).
Qualifications:
High school diploma required; two to three years of experience in customer service, project coordination, construction operations, or a related role preferred. Knowledge of residential or commercial construction processes and project coordination within a construction environment is highly desirable but not required. Ability to clearly communicate information in both verbal and written form and respond effectively to questions from managers, customers, and partners. This position does not require you to be fluent in any foreign language. Must be a collaborative team player who promotes a positive work environment and demonstrates a strong commitment to learning and professional growth. This role requires a proactive, highly organized, and self-motivated individual capable of managing multiple priorities while ensuring projects are coordinated efficiently and prepared for successful installation execution. Strong attention to detail and the ability to prioritize tasks, meet deadlines, and manage multiple responsibilities is essential. Excellent communication and interpersonal skills are required to build trust and maintain productive relationships with builders, contractors, customers, coworkers, and leadership. The ability to address challenges, resolve conflict professionally, and make decisions in the best interest of both the customer and the business is critical while maintaining a high level of professionalism and delivering the Pella Experience. Proficient with Microsoft Office Suite (Word, Excel, Outlook). Ability to learn Slack, Salesforce and all required Pella software systems. Ability to perform basic business math including percentages, proportions, measurements, area, and other standard calculations while interpreting spreadsheets and numerical data. Must be able to solve practical problems, interpret technical instructions, and make sound decisions based on available information.
