Glendale, AZ Job Details Full-time $18 - $24 an hour 16 hours ago Qualifications Construction specifications Project change management Contracts Vendor contract management Project contract management Construction change order management Full Job Description The Project Coordinator is responsible for assisting and supporting the Project Manager in the overall administration, organization and implementation of small, medium and large dry utilities underground electrical, communication and solar construction projects. This critical role carries the responsibility of common knowledge of every ongoing project that the Project Manager is currently handling. In the absence of the PM, the PC is to take control of the ongoing projects under the direction of the CM and is to carry on the same agenda. Job Performance Standards New Project Assists the Project Manager in the preparation of a project including but not limited to documentation, schedules and budgets established from Pre-Construction. Assists the Project Manager in documentation required for project start including but not limited to vendor quotes, insurance, utilities locate, subcontractor/contractor, …etc. (Ref. 1.5.1 ss) Establishes a professional working relationship with clients and vendors as needed. Enters all necessary information which can include but not limited to PO details, phase codes, and contract items into Vista Viewpoint system accurately and timely. (Ref 1.6.2 ss) Renews/Updates Blue Stake's as required in an accurate and detailed manner by having a constant flow of communication with the field superintendent/foreman. Coordination of Resources Excellent working relationship with Superintendents and Foreman and submits required paperwork, in a timely manner, through appropriate channels for equipment requests, deliveries and pick-ups. (Ref. 2.3.1 ss) Acts as a liaison between the field personnel, Project Managers and vendors and exercises cost effective practices to coordinate material, rented equipment, and aggregate deliveries and pick-ups. (Ref 2.1 & 2.2 ss) Updates and sends out daily operations schedule and meeting minutes to all relevant company personnel in a timely and accurate manner after the completion of the operations daily meeting (Ref. 2.6.2) Project Cost Management Solicits subcontractors and vendors for proposal prior to submission time and gives recommendations to the Project Manager based on their findings with the account of quality and affordability. Organize project meetings and prepare the necessary materials, including reports, presentations, agendas and other meeting collateral. Accurately record key decision and action items resulting from meetings. Field OperationsProgress & Status Responsible for safe keep of project documentation and interfacing between departments. Allocates correct phasing to purchases to ensure accurate project expenditures. Site Visit Walks the site with Project Manager or Superintendent at least twice a month for project updates and further coordination to achieve goals. Attends all required orientations and/or safety meeting prior to any site visit. Upholds safe practices on and off the job site in accordance to company policy and OSHA regulations. Safety 4.3.1 Attends require monthly safety trainings provided by Premier Risk Management. Reporting Assists the Project Manager, in their absence, in the analyzing and submission of reports such as Job Costing, JHA and others not listed. Completes and submits the Site Safety Inspection form twice per month during visit. Clerical Duties Communicate with internal personnel as well as clients, vendors, subcontractors via calls, response to text message, respond to emails and interfacing with clients. Maintains files, records and correspondence for all projects. Assists the Project Manager with strong organizational skills and calendar management to ensure project and department goals are met. Qualifications Must have excellent organizational skills, be detail oriented and can prioritize. Knowledge of business and management principles involved in strategic planning, resource allocation, leadership techniques, production methods, and the coordination of manpower and resources. Effective written and verbal communication in both Spanish and English preferred. Experience in blueprints and electrical schematics. Ability to communicate in a professional and tactful manner with others as a representation of the company. Knowledge of materials, methods and the tool involved in underground dry utilities and the electrical industry. Must have experience working with contract documents such as contract drawings, subcontracts, contract addendums, specifications and change orders. Intermediate knowledge of Microsoft Office Suite including but not limited to Word, PowerPoint, Outlook and Publisher. Advanced knowledge of Microsoft Excel Intermediate knowledge of Bluebeam Suits and/or Adobe Secondary Degree preferred but not required.
